CCS Cataloger’s Workshop for September 7, 2005 Authority work with the Java Client CCS Authorities and the Weekly Report Hints & tricks on reading and selecting the correct record
Authority Control in the Work Flows Java client • For those familiar with Authority control using the C Client – its very similar • New properties to watch out for • New wizards to be familiar with • Slightly new terminology
New Look of the wizards • Authority wizards have changed slightly • Here’s the display authority wizards • Here’s the validate headings helper
New properties to watch out for:(use the Supervisor log-in to change or view these properties)
Configure… • Do not uncheck the Skip unauthorized headings helper or you might get stuck
Authorized or a Reference? • An authorized heading or two • A reference
Terminology when validating a heading • Next – Validates the heading, and then advances to the next heading. • Browse – Returns you to the Browse Authority hit list. • Get From List – Retrieves the currently selected authority heading from the Browse hit list. • Skip – Skips the authorized heading displayed without making changes or validating the change • Skip Rest – Skips the remaining headings
CCS Authorities: • Remember that our SIRSI system is set at the highest level of authority control – meaning that validating headings is very picky with capitalizations, spacing, and etc. • PLEASE REMEMBER TO VALIDATE HEADINGS and to ENTER COMPLETE HEADINGS WHENEVER POSSIBLE
But why is it so important?Because without authority control, our database could end up like this • > Nixon, Richard, 1913- • > Nixon, Richard. • > Nixon, Richard M., 1913-1994. • > Nixon, Richard M., 1913-1994, Presidents United States. • > Nixon, Richard M., 1913- • > Nixon, Richard M., 1913-1994, United States President. • > Nixon, Richard M. • > Nixon, Richard M. (Milhous), 1913- • > Nixon, Richard M., President of U.S. • > Nixon, Richard M. (Richard Milhaus), 1913- • > Nixon, Richard M. (Richard Milhous), 1913-1995 Oratory. • > Nixon, Richard M. (Richard Milhous), 1913- Inauguration. • > Nixon, Richard M. (Richard Millhous), 1913- • > Nixon, Richard Milhous, 1913- • > Nixon, Richard Milhous. • > Nixon, Richard Milhous, Pres. U.S., 1913-1994. • > Nixon, Richard Milhous, Pres. U. S., 1913- • > Nixon, Richard Milhous, President United States, 1913- . • > Nixon, Richard Milhous United States President 1913-1994. • > Nixon, Richard (Richard Milhous), 1913-
Authority control- • Helps to standardize headings, so that there’s only one form of a name is used for a particular heading – in our case its: Nixon, Richard M. (Richard Milhous),1913- • Also determines other access points (or references) that will point the user to the correct heading or area of the database • This ensures easier access to materials, which in turn makes happier users
Ways to insure good authority control: • Do validate those headings and export any needed authority records from OCLC • The CCS Authorities Librarian will assist by adding new or updated authority records; by adding needed authority records; and by doing database maintenance whenever it is needed
One of the ways, the CCS Authorities Librarian uses is the Weekly Report • Runs every Monday morning • Picks up unauthorized headings of newly added or updated records from the previous week • We go over the report and selectively choose 100’s to work on, and all the 110’s, 440’s, and subjects also
The WEEKLY REPORT 100’s and 110’s: • 1 100: 10 : |aWheeler, Candace Thurber,|d1827-|?UNAUTHORIZED • 5 100: 10 : |aWickwire, Franklin B.|?UNAUTHORIZED • 6 100: 10 : |aWingerson, Lois.|?UNAUTHORIZED • 1 100: 10 : |aYoung, Frank Rudolph.|?UNAUTHORIZED • 2 100: 20 : |aLe Corbeiller, Clare.|?UNAUTHORIZED • 1 110: : |aHope 7 (Musical group)|?UNAUTHORIZED • 4 110: 1 : |aBackyardigans|?UNAUTHORIZED • 2 110: 1 : |aDavid, Erica.|?UNAUTHORIZED

You need authority records to ensure good authority control-- • Let’s look on OCLC, at about 15 sample authority records • We’ll see all the different types • Things to look for and also how to decipher some authority record lingo and shorthand
Author/title type of series (or the dreaded 490 1/800 combo):
Another topical subject heading, but with a bit of musical accompaniment:
Do not use as a subject heading, but use as a subdivision instead
Another geographical heading (city neighborhoods, parks, etc. belong here):
