Disadvantages to going paperless • Human error • Learning curve • Technologically unsavy colleagues • Online security • Accessibility issues • Bugs and breakdowns • Time
Advantages to going paperless • Everything is centralized into one location • Reduces clutter and offers a calming atmosphere • Provides better and faster customer service • Simplifies sending documents • Provides better security and protection • Fire • Water damage • Unauthorized people accessing your office
Advantages to going paperless (cont.) • It takes a lot longer to pull a piece of paper than it does an electronic copy of a document • Paper items can be misfiled and lost • Materials can be accessed from offsite • Cost reduction • Paper, ink and binders • Storage, copying, shipping, printing, postage, diposal and recycling charges • It’s green!!!
Supplies needed • Your computer • A scanner; preferrably one that reads color and performs double sided scans • Access to a shared drive • External drive • USB sticks • Offsite storage facility
Steps to a paperless office • Create a priority list • Set up your infrastructure • Security access • Folders • Backup system • Incorporate protected time into your schedule • Ask the Volunteer Services office for assistance • Recycle/Shred/Toss anything that isn’t important or is a duplicate
Steps to a paperless office (cont.) • Orientation manuals/curriculum should be put on the shared drive and given out on a USB stick • Unscannable files should be sent to an offsite storage facility • Resident files should be uploaded using a software like New Innovations • Curriculum, duty hours, evaluations, test scores, licensure, visas, ECFMG certificates, conference attendance; all can be tracked and generated centrally.
