Glenville State CollegePrize Policies and Procedures A Student Event is defined as any activity that is held to promote a social atmosphere and is held for the direct benefit of the students. Student activities should be charged to the 051000 account. 1. A prize can be purchased from an appropriated state fund and can be distributed at a Glenville State College Student Event for Glenville State College students if; The event is open to all students for which a fee was assessed to fund such an activity; The prize is paid for from the appropriate funding source; The event is properly advertised. The event must be advertised a minimum of five (5) business days and displayed in such a form or manner that allows all students access to information about the event.
Glenville State CollegePrize Policies and Procedures • A prize cannot be purchased from state funds to distribute at a Glenville State College Student Event if a fee was not assessed to fund such an event. • A prize cannot be distributed to a member of the general public. • A prize cannot be distributed to a Glenville State College employee unless the employee is also a student and has paid the appropriate fee. • Restricted or illegal items such as, but not limited to, firearms and alcohol cannot be distributed as a prize. • The maximum dollar limit of a single prize is $100.00 unless otherwise authorized by the Chief Procurement Officer. • The area authorizing the event must maintain a current inventory of all distributed and undistributed prize items and provide proof of distribution. Compliance audits will be performed periodically.
Glenville State CollegePrize Policies and Procedures Example for Section #1 - Items a & b: Residence Hall Events - A prize can be purchased from an appropriated state fund to distribute at a student event that includes only Residence Hall Students because those students are assessed a fee to fund such an event. Non-Residence Hall Students are not assessed this fee, therefore, should not be awarded a prize during such an event. The fund where the fee is collected must be charged the expense. Example for Section #1 Items a & b : GSC Week – A prize can be purchased from an appropriated state fund to distribute during GSC Week. All GSC students are eligible to win a prize because a fee is assessed to all students to fund such an event. The fund where the fee is collected must be charged the expense. Example for Section #2 SIFE - A prize cannot be purchased from state funds to distribute at a Students In Free Enterprise (SIFE) event that only includes SIFE members because students that are a member of SIFE are not assessed an exclusive fee to fund such an event. If an event is sponsored by SIFE and is open to all GSC students that are assessed a fee for such an event, a prize can be purchased from an appropriated state fund to distribute at the event. The fund where the fee is collected must be charged the expense.
