Outline your purpose • You need to have an overview of your project and its conclusions (the presentation therefore cannot be done before completion of the project) • You need to define your purpose accurately so that you know what you want to achieve at the end of the presentation
Analyse your audience Your presentation should be made with a non-specialist audience in mind and you should make sure all technical / subject-specific vocabulary is explained beforehand or that its meaning is clear for all members of the audience
Identify the need • What do the audience need to know? • What do you need to communicate? • This will help you select the information to be shared with the audience and will help you organise your presentation
Collate your information • Make sure you select the information appropriately. Too much and the audience is bored, too little and you haven’t achieved your outcomes • Chunking : present the information in manageable segments. Start with overview and then work down details • Make sure you analyse the information (especially graphs, charts, tables…)and provide the audience with the results / conclusions.
Prepare your communication • Do you need visual aids? Handouts? • How will the presentation / aids will be perceived by the audience? • Graphs, charts, tables, pictures are useful to convey meaning straight away without many words
Voice • The volume needs to be loud enough to be heard without shouting. Project your voice • The tone of your voice will convey emotions so make sure it conveys confidence and not fear! Do not speak in monotonous tones as it can be boring for the audience! • Do not talk too fast or too slow as the audience will lose interest.
Body • Your body communicates different impressions to the audience. People not only listen to you, they also watch you! • A good posture will help you project your voice and speak clearly. It will also convey a message of confidence and professionalism • Eye contact is essential. Do NOT read from notes
The audience • We recall • 20 % of what we hear • 30 % of what we see • 50 % of what we hear and see • 70% of what we do • So try to involve the audience more!
Six important things to remember when you are giving a presentation • 1. Introduce yourself by name. • 2. Bring back up visual aids in case your PowerPoint presentation fails. • 3. Slow down when you are speaking. • 4. Make eye contact with the audience. • 5. Smile. • 6. Ask for questions from the audience at the conclusion of the presentation.
TIPS • Tell them what they need to know • Show them as much as necessary to clarify, support and enhance your verbal message • Create opportunities for interaction (and not just in the questions and answers part at the end) • Rehearse your presentation so that your are more confident • KISS : keep it short and simple!
