EIEIO vs. SSWAT • NWOCA has conducted a couple of EIEIO/SSWAT training sessions so far • Also introduced SSWAT during USASWEB training sessions • For EIEIO/SSWAT training, we discuss EIEIO options but we don’t focus too much on OINQ. Instead we feature SSWAT as a “replacement” for OINQ.
EIEI/O Read-only program that allows you to view the following on the system: • Account Information • Requisition • Purchase Order • Invoice • Check • Receipt • ARF files • Vendor
Account Option • Account Window displays data concerning a particular account
Check Option • Check window displays data concerning a particular check
Purchase Order Option • PO window displays information for a particular purchase order
Invoice Option • Displays information for a particular invoice • Note: requires both the PO# and Inv# to display a specific invoice
Receipt Option • Receipt window displays information for particular receipts, refunds, reduction of expenditures, modifications, corrections supply distributions and transfers
Requisitions Option • Requisition window displays information for a particular requisition.
Vendor Option • Displays information for a particular vendor
Vendor Option – Search by Name • Displays information for a particular vendor
Transaction File Lookup Options • Account, Check, Invoice, PO, Receipt, Requisition, and Vendor options: • Display information from that file(s) • Use PF1 to scroll to Next Record • Use PF18 to print transaction to .TXT file • Can do finds by partial accounts or by vendor name
OINQ • Displays expenditure and revenue transaction data. This data can be searched by: • Vendor • Date • Purchase Order Number • Account Code • Amount • Note: a restriction applies to OINQ that only transactions entered prior to today are available for display
OINQ • Will rapidly retrieve & display: • Expense Transaction Data • Revenue Transaction Data • Open Invoice Data • This data may be searched by: • Vendor • Specific date or date range • Purchase Order • Amount • Specific account or range of account codes
OINQ MENU Note: Use ctrl-X to stop the scrolling if it gets too long!
OINQ Options • Some of the options provided in OINQ • Display account code or description • Search using a single account or a range of accounts • Choose to send results to a printable OINQ.TXT file • Display Detail lines or Totals only
OINQ Options ………….. The retrieved information will not be displayed on the screen …………………. Set criteria on the type of information OINQ will retrieve ……. Displays outstanding invoice transaction data ….….. Displays the account code instead of the item description Displays transaction info for a range of accounts ……………….. Retrieved information will be sent to text file named OINQ.TXT Displays totals only of retrieved transaction as opposed to displaying all the detailed lines of information
OINQ • PIGate • Further defines what you want to see by allowing selection by type and status for POs, Checks, and Receipts. • If using Reflections: • To enable scrolling capability in OINQ: • Click on Setup • Next click on Display from the drop down menu. • Click on the Screen button • Check the Save from scrolling regions box • Click OK
BARQ • Displays Accounts Receivable Invoice and Payment Data • This data may be searched by: • Customer • Specific date or date range • Invoice number or Receipt/Check number • Amount • Specific account or range of account code

EIEIO Advantages/Disadvantages • Advantages: • Can look up information immediately after it was posted • OINQ options contained in one area for easy selection • Disadvantages: • Does not display all background information (such as date entered, username, etc). • Can’t look up “portions” of account/transaction information (by description or part of description) • Does not allow you to re-sort displayed information • Must rebuild OINQ file to see info in OINQ • Can’t view history information • OINQ can be hard to see and read • PF3 options are not user-friendly
SSWAT • Allows a user to query USAS account, vendor, and transaction data via internet queries. • Web-based application of USAS current and historical data that can produce queries, chart/graphs and export data to spreadsheets • SSWAT is OINQ in a web browser
How does SSWAT work? • SSWAT’s database is a copy of the district’s USAS data. • Completely separate from the live data • The data in SSWAT is refreshed nightly. • Contains all transactions except those posted on the current date.
Also, in USAS DAS forum, there is a folder called SSWAT/USASWQ. There is a “Documents” folder under this option that may be helpful for you.
SSWAT Categories • Spreadsheet output capabilities: allow data from the current query to be displayed in a spreadsheet or downloaded as an Excel or delimited file • Revise query link: allows user to revise the current query without having to start over • “Bookmark”able capability: allows user to bookmark a given query using web browser’s “bookmark” or “favorite” feature.
