  3. What is Integrated EFTPOS? Payment amounts sent directly from BP to the Tyro terminal No re-keying of payment amounts Balancing issues reduced Patients can pay using their debit or credit card Bp Sunshine Summit 2014
  4. What is Integrated Medicare Easyclaim? Immediate Medicare rebate when account paid in full Patient swipes their debit card Rebate deposited in seconds Terminal generated Medicare receipts - saves paper No need to ask patients if they are pre-registered with Medicare Bp Sunshine Summit 2014
  5. Limitations of Integrated Medicare Easyclaims Rebate only payable to patient if account paid in full. Part payments generate a cheque in the practice’s name which is sent to the patient Certain items cannot be rebated immediately Multiple attendance or In-Hospital items (i.e. Item 4, 24, 35, etc.) Items requiring notes, service text or separate site information Patient claims more than 2 years from date of service Pathology items (except for those in Group P9 - Simple Basic Pathology Tests) Patient claims with non-standard referrals Most can still be sent via Patient Claiming Bp Sunshine Summit 2014
  6. Prerequisites New version of Best Practice which includes Tyro functionality Tyro terminal (apply to Tyro for this) Medicare Certificates registered for use with Best Practice Online claiming configured and working within Best Practice Always on Internet connection Bp Sunshine Summit 2014
  7. How does it work? Process on Payment screen:- Click in EFTPOS or Credit Card fields and tick ‘Use Tyro’ checkbox Tick ‘Pay full amount’ Tick ‘Send via Easyclaim’ checkbox Process on Tyro Terminal:- Press Process button – Tyro terminal starts Patient swipes their card for the payment Tyro terminal prints Payment receipt Patient swipes their card for rebate Tyro terminal prints Easyclaim receipt Bp Sunshine Summit 2014

Entry of Payment information All private account can be paid via Tyro (Patient, Head of Family, Workcover or Other) EFT and Credit card fields trigger ‘Use Tyro’ option Recommended:- Use EFT field for all Tyro transactions Use Credit card for other EFTPOS machines or HICAPS, etc This helps keep separate on reports Payment by EFT, Cash, Cheque, Direct Credit all allow Easyclaim rebates Bp Sunshine Summit 2014
  9. Paying full amount Click in the field adjacent to the payment method (i.e. Cash, EFT, Credit Card, Direct Credit, Cheque total) Tick the ‘Pay full amount’ tick box at the top of the screen. Amount owing is automatically entered into the selected field and all invoices lines fully allocated If payment method is EFT or Credit card, ‘Use Tyro’ will be ticked. Untick if required.   10. Paying Gap Click in the field adjacent to the payment method (i.e. Cash, EFT, Credit Card, Direct Credit, Cheque total) Tick the ‘Pay gap’ tick box at the top of the screen. Gap amount from invoice is automatically entered into selected field and allocated against each item below If payment method is EFT or Credit card, ‘Use Tyro’ will be ticked. Untick if required. Part Payments For part payments, type the amount being paid into the relevant payment method field (i.e. Cash, EFT, Credit Card, etc) Tick the invoice lines to indicate which invoices are being paid or press the ‘AutoAllocate’ button to spread the payment amount between the services on the invoice (works from top down) To allocate differently, click the ‘Allocate’ button If payment method is EFT or Credit card, ‘Use Tyro’ will automatically be ticked.   12. Zero Gap Payments Can process an Easyclaim transaction where the patient is not paying any money. Leave ALL the payment fields empty and do not tick ‘Use Tyro’. Tick the invoice lines below to indicate which invoices are to the sent to Medicare. Bp Sunshine Summit 2014
  13. Split payment types Payments can be made using multiple payment types (i.e. part EFT, part cash). Enter the amount to be paid in the field adjacent to each payment method Tick the invoice lines to indicate which invoices are being paid or press the ‘AutoAllocate’ button to spread the payment amount between the services on the invoice (works from top down) To allocate differently, click the ‘Allocate’ button If payment method is EFT or Credit card, ‘Use Tyro’ will be ticked.   14. Payment via two cards When taking payment using two cards (i.e. EFT and Credit Card or two different EFT cards) you will have to process the payment in 2 steps. Enter the payment amount to be paid via the first card. Process via Tyro but do not send via Easyclaim Close the Payment screen Open the Patient Billing History, highlight the Account and press Pay Single invoice Enter the payment amount to be paid via the second card Process via Tyro and tick ‘Send via Easyclaim’ or ‘Online Patient Claiming’ as relevant.   15. Paying multiple invoices Multiple invoices can be paid using the Patient Billing History screen and pressing ‘Pay All’. The Payment screen will appear Process the payment as per the relevant steps for individual payments. Bp Sunshine Summit 2014

Choosing Medicare rebate method Integrated Easyclaim (Send via Easyclaim) Patient swipes their EFTPOS card and the Medicare rebate is made into the bank account associated with the patient’s EFTPOS card Only available if account fully paid, billed to Patient or Head of Family Only limited items can be claimed Tyro terminal prints claim receipt for patient Online Patient Claiming (Send via Patient Claming) Patients need to have lodged their bank details with Medicare Online or you type in their bank account details into BP Only available if account billed to Patient or Head of Family BP prints Medicare Statement of Claim or Lodgement advice for patient Bp Sunshine Summit 2014
  17. What happens on the Tyro terminal? When ready to process payment click the Paymentbutton. If ‘Use Tyro’ was selected:- Tyro terminal will activate and prompt to swipe card for the payment Tyro ‘Payments EFTPOS receipt’ will print on Tyro terminal If ‘Send via Easyclaim’ was selected:- Tyro terminal will activate again and prompt to swipe the card for the rebate. Claim is sent to Medicare (via Tyro) Rebate paid to patient Medicare Claim Receipt is printed on Tyro terminal If ‘Send via Patient Claiming’ is selected:- Claim is sent to Medicare Medicare Statement of Claim or Lodgement advice is printed for patient If No rebate claimed then press ‘Print Receipt’ button Bp Sunshine Summit 2014
  18. What if I get errors? Tyro Payment errors appear on both Tyro terminal and BP screen BP screen reappears to allow payment to be attempted again Does not progress to Easyclaim stage until payment completed Easyclaim errors some errors may occur that are outside the Easyclaim rebate rules Tyro terminal prints a receipt showing status of the claim and reason for rejection Patient can then use this receipt to followup with Medicare Bp Sunshine Summit 2014

Possible Future enhancements Multiple Merchant numbers / Bank accounts EFTPOS payments for different doctors to go to different bank a/c’s Future version will introduce the ability to specify and process this information Manual EFTPOS payment entry To cater for telephone payments Bulk Bill Easyclaim Replaces Bulk Bill Online claiming No need to print Medicare Assignment advice for patient signature Harder to reconcile as claims are not in batches Bp Sunshine Summit 2014
