PROCUREMENT OF RAM • The University policy is that all orders for radioactive materials must be placed through the Procurement Office. • Direct purchases from suppliers are prohibited, regardless of the amount to be expended. Athens campus radioisotope deliveries will be made to Radiation Safety. • In addition to obtaining a Purchase Order Number (PO#), Every order of RAM must have an Authorization Number (B#). The UGA Procurement Office has been instructed not to issue PO#s without accompanying B#s. B#s are required for all ram purchases and transfers into UGA. This includes sealed sources in instrumentation.
PROCUREMENT Your lab, under consent of your AU, completes a (1) Field Purchase Order, or (2) a Blanket Purchase Order The UGA Procurement Office will issue a purchase order to the vendor. One copy will be sent to the department or budgetary unit that approved the request and 2 copies are sent to the RSO to verify that the material was received at UGA and to sign for UGA so payment can be made to the vendor. All shipments shall be directed to the following address; UGA/Radiation Safety Laboratory Riverbend Research Center, Rm 120 110 Riverbend Road Athens, GA 30602
AUTHORIZATION NUMBERS ( B NUMBERS) • A B# is unique to only one container of ram. If a procurement order is cancelled, the number cannot be reused. A new number must be obtained. • Cancellations of B# must be made by the respective ordering laboratory, failure to do so will keep the RAM on your inventory • Cancellations of B# must be made by the respective ordering laboratory, failure to do so will keep the RAM on your inventory • Once a B# has been obtained by the laboratory, the B# remains on the AUs inventory until a yellow copy of the “inventory of radioisotopes” form is returned to the RSO or the B# is cancelled by the AU.
AUTHORIZATION Any principal user who wishes to use radioactive material at UGA must have an approved application on file at the Radioactive Control Office and be in good standing with RAM regulations And policies. Rad workers ordering RAM and obtaining B-numbers must do so with consent of the authorized principal investigator. Failure to adhere to this consent violates UGA disciplinary policy, “ Where use of another’s computer sign-on or computer access code or providing another the use of an individual’s sign-on code without proper authorization to gain access to confidential or privileged information” RAM accountability and inventory status is the sole responsibility of the authorized user, no matter who orders B#s or procures RAM. B# access is terminated if AUs are delinquent in the Requirements and responsibilities placed on them by the UGA RAM license

UGA Radiation Safety Office receives mostly all radioactive shipments for the campus. This is by design. • Required to Monitor the External Surface of the Package for Contamination and Radiation Levels for your protection and for proper shipping. • Monitoring shall be performed as soon as practicable. • not later than 3 hours after receipt during normal working hours. • not later than 3 hours beginning the next work day if received after normal working hours.
Receipt and Verification Packages are received at the RSO lab, checked in, verified and surveyed. Delivery to you is made the same day as received. Someone must be in the lab to sign for package delivery. You should check the form for Completeness. You should add the new information to your “summary of Isotopes” ASAP Secure the isotope and place new form in your inventory log

Shipment of Radioactive Material • Required whenever radioactive material is shipped across public highways (e.g. from the main campus to another location.) • Must be approved by the RSO • Must be properly packaged and labeled • Must have copy of recipient’s license • RSO will complete the paperwork and ensure that the package is DOT approved • This may take several days to several weeks depending on the requirements of the recipient
