Phase I – Can We Do This?(at least 2 years prior to implementation) • Questions – Why?, Where?, When? and How? • District Infrastructure • Device Selection – What?
Questions – WHY? Why are we doing this? • Just to say we are 1:1? • Extend the learning outside the classroom? • Expose students to 21st Century Learning? • Will technology now drive instruction or will instruction continue to drive technology?
Questions – Where? • District Wide? • Specific Buildings? • High School Only? • Middle School / High School? • Some sort of Hybrid?
Questions – Off Site? • Will the students be able to take the devices off site? • What % of students have wireless internet access at home? • Survey Parents (Bright Bytes, Survey Monkey) • Parents will dictate Off Site restrictions for some students • How to handle devices of students that are On Site Only • Poll Local Businesses’ for Wi-Fi access for students with specials or discounts • Can our Content Filter system apply rules to devices off premise?
District Infrastructure • Network/Wireless Capacity – Can we support additional devices? • Internet Bandwidth Capacity – Upgrade needed? • Power Charging Station Locations – Are they needed? If so, • Is additional power drops needed for the station? • Is it easy access and available? • Is an Asset Inventory System available or needed? • Used to check in and out devices to students and record maintenance/repair • Can we image and/or support the additional devices? • Plan on additional repair costs when budgeting • Will additional staff be needed?
Device SelectionReview and Test Various Devices • Ask suppliers for test/sample devices • Acquire pricing for implementation of each sample device • Create Pros & Cons on each device, • Is device compatible with our infrastructure? • Is it necessary for the device to work without internet available? • Is the % of students without internet a concern? • Can the district substantiate the costs to implement the device? • Plan out 5 yr. & 10 yr. replacement cycle – Can we still afford this?
Device SelectionReview and Test Various Devices cont. • Is battery life a concern with the device? • Is the battery replaceable? • Will additional software licensing be required to implement this device? • Will there be a need for the device to support network file sharing and network? • Will the device support network printing? Is there a need? • Is the device sturdy? • Will additional components be needed such as cases, covers, bags?
Device SelectionReview and Test Various Devices cont. • What is the warranty offered for the device? • How are warranty claims handled? • Pre-ship replacements or wait for the device to be received prior to a replacement being sent? • Are there additional shipping of handling costs? • Will there be a cost associated with the device passed on to the parents? If so, how much? What will that look like? • Is an extended warranty available? • Is the cost for the extended warranty worth it? • Is accidental damage covered? At an additional cost? • Will the device support State Testing? • What rights will the student have to the device?

Phase II – Preparation(at least 1 year prior to implementation) • Upgrade district infrastructure if needed • If allowing students to print setup separate Print Servers and apply rights. • Support & Staffing • Is there a need for additional staffing? • Consider increase of devices to support and issues • Suggest a Help Desk at the building • Can we utilize Student Tech Club for level 1 issues?
Phase II – PreparationProfessional Development • Purchase devices for the teachers at least 6 months to a year before deployment so they are familiar with the device and able to integrate into their classroom instruction • Have a quick 15-minute review of the device with the teachers if new to them • Provide support but also allow them to investigate on their own
Phase II – PreparationProfessional Development • Create a group of teachers currently using specific software and use a teacher teach teacher approach. Train if necessary • Office 365 • Class Notebook • Google Docs / Classroom • Blogs • Other district specific software
Phase II – PreparationProfessional Development • Provide instruction to the teachers on the use of the device and programs available using the Teacher groups • Teacher led • Contact Microsoft Rep to see if local training is available • Office 365 • Class Notebook • Sway, Yammer, Delve, etc.
Phase II – PreparationPolicies • Review/Create Policies • District – Issued Device Repsonsibility List • Care of School Property • District-Provided Technology Recources • Identify different versions of On-Site, Off-Site Policies for Parents • Have signature page included for record keeping • District Issued Devices: Student Use, Rights and Responsibilities • Acceptable Use • Post new or revised Policies on website

Phase II – PreparationDocumentation and Record Keeping • If charging parents a fee – prepare paperwork informing them of the reasons and costs • Keep Policy Signature pages in a binder for easy access • Use an Asset Management system to track maintenance, check in/out history, serial numbers of devices for insurance claims, serial numbers of any peripherals if covered under manufacturer warranty. • Keep breakage log of device warranty claims • Create notification process for parents of breakages • Prepare for billing parents of vandalism, or of devices that have all the accidental damage and handling claims expired • Determine who is responsible for discipline of students if polices are broken and be consistant
Phase III – Pre-Deployment(6 months prior to implementation) • Order devices for distribution (consider extra for new students, spare devices and replacements for Help Desk issues) • Receive, Inventory, Image & Setup • Prepare tags for devices and inventory system if needed • Image devices if applicable • Apply cases, covers and bags if purchased • Setup software, printers, Office 365 Accounts • Record all serial numbers in the inventory system
Phase III – Pre-DeploymentParent Communication • Meet with Parents (various times and days) and review: • New or existing Policies • Distribute copies of new On-Site/Off-Site policy • Collect any filled out policies • Give a deadline for return of non0-filled our policies • Plan for Use • Implementation Plan • Responsibilities of Students and Parents • Fees if any and reasoning
Phase III – Pre-Deployment • Form Student Tech Club • Ask for students to fill out an application to join the club • Give them the experience of the interview process • Pick your team • Pre-Release devices to the Tech Club for them to be familiar with the device • Determine and explain the Help Desk Procedure • Discuss with teachers of the building to schedule time in their classrooms to go over the expectations of the device in their classroom
Phase IV – Deployment(1 month prior to implementation) • Start all devices to allow any new updates to be applied • Create a distribution schedule • By Grade Level • By Subject matter • Entire student population at once • Notify the teachers of the schedule so they can prepare for expectations of the devices in their classrooms
Phase IV – DeploymentStudent Deployment • Deploy the devices to Students • Go over the basic functionality of the device • Briefly review new software available • Review Policies that apply • Explain how insurance claims are handled • Explain replacement procedure • Explain the new Help Desk and how to have your device supported • If Student Tech Club is an option, explain Level I support • Check Out Devices to the Student if using Inventory System
Phase V – Post-Deployment • Record all maintenance on the devices as necessary • Record all damages • Keep Track of number of damages per device limited to warranty claims • Send Notifications to parents of any damages or warranty claims • Send Bills to parents if applies • Process repairs to damaged devices under warranty • Evaluate if repair is feasible to devices out of warranty • Plan for device replacement as needed looking 5 – 10 years out
