  3. NCAA Requirements for Official Visit • 1. High School Transcript • 2. ACT/SAT Test Scores • 3. Added to Institutional Request List (IRL) • The recruit must be registered with EC! • Entertainment/Host Money • $20 per day, per person. • 48-Hour Requirement • One visit per PSA to Villanova • Five visit limit per PSA, overall

  4. Villanova Process for Official Visits • Prior to the Visit • 1. 5-visit Letter • 2. PSA’s high school or junior college transcript • 3. PSA’s SAT/ACT test scores • 4. Itinerary (including host name, housing location, cell phone number) • 5. Complimentary Ticket Request Form (if needed) • Must be submitted 2 days prior to an official visit. • 6. All host money for entertainment must be approved in advance • Per university policy, all advances must be at least $100.

  5. Villanova Process for Official Visits • After the visit: • 1. Signed copy of the Official Visit Record Form; • 2. Signed copy of the Student Host Receipt; • 3. Signed copy of the PSA’s Receipt Form; • 4. Copy of Receipts (meals, hotel, transportation, entertainment, etc.) • File with Business Office within 14 days: • 1. Travel Expense Report; • 2. All Original Receipts; • 3. All unused advance money; • 4. Mileage Reimbursement Form and Request for Payment (if needed).

  6. Complimentary Admissions Interp • 10/10/2013 • A student-athlete may provide home or away complimentary admissions to a high school, prep school, or two-year college coach, or any other individual responsible for teaching or directing an activity in which a PSA is involved… • As long as the complimentary admissions are not provided to the coach or other individual at the direction of an institutional staff member. • Players in sports for which we charge for tickets will be asked to enter the relationship of the person to whom they are giving a comp admission. • Football, men’s lacrosse, and men’s and women’s basketball. • Compliance Office will be reviewing these relations

Quick NLI Reminders • Scholarship Request Forms are due by the end of October. • NLIs cannot be sent to a PSA without a scholarship offer. • Compliance office reviews the scholarship forms and submits them to the Financial Aid office. • Compliance office then prepares the NLI, the scholarship letter, and other correspondence that is sent to the PSA. • Early Signing Period (most sports) – November 13th – 20th

New NLI Submission Deadlines • Parent/Legal Guardian and PSA have Seven (7) days to sign from the date of issuance. • The seven-day signing period applies only if there are seven days remaining in the signing period. Otherwise, the NLI must be signed prior to the end of the signing period. • From the date of the last signature (parent or PSA) we have fourteen (14) days to submit the NLI to the Big East. • The NLI is invalid if these deadlines are not met.

  9. CARA hours during vacation periods

  10. Vacation Periods & Between Terms • Daily and weekly hour limitations do not apply to CARA • 1. During our term-time (i.e. not summer) official vacation periods; and • 2. During the academic year between terms (e.g. winter break). • If the vacation occurs during any part of a week in which classes are in session (e.g. Easter Break), you must count the daily/weekly limits during the part of the week during which classes are in session. • 4/20 or 8/2 and required days off.

  11. Occasional Meals

Occasional Meals • Occasional Meal (From Staff Member) • A student-athlete or the entire team in a sport may receive an occasional meal from an institutional staff member (e.g., coach, admin, faculty); • The meal must be in the locale of Villanova (30-mile radius); • Can provide reasonable local transportation to student-athletes to attend. • Occasional Meal (From Booster) • 1. Must be in the booster’s home, on campus, or at a facility that is regularly used for home competition; • 2. Meal may be catered; • 3. Booster may provide reasonable local transportation to student-athletes to attend, only if the meal is at the booster’s home.

Occasional Meals – Cont’d • Occasional meals must be occasional • No specific NCAA definition; generally once per month, exceptions can be made, depending on circumstances. • Occasional meals are for student-athletes only. • Parents cannot be provided a free meal. • If a booster is providing the meal: • It can be in any facility that is used regularly for home competition (i.e. it is not sport specific) (e.g., any sport could use the Pavilion).

Occasional Meals – Cont’d • Away From Home Meals • A booster may have an occasional meal outside the 30-mile radius, but only if it is held at the booster’s home. • It cannot be at a restaurant or at a tailgate. • If a booster wants to “pay” for a meal away from home (and not at their house), Villanova can cover the cost of the meal and the booster can make a donation to the general athletic fund. • The booster would not be able to directly pay for the meal. • There is no way to guarantee that the money that goes into the general athletic fund would get back to your team/players (which is the point).

  15. Occasional Meals – Cont’d • Process for requesting an Occasional Meal • Submit the Occasional Meal Request Form. • The occasional meal form is available on the forms website section of villanova.com • http://www.villanova.com/forms/ • This is not accessible for non-coaches/staff members. • Please submit the form as soon as possible to Peter. • The form must be submitted and approved prior to the meal.

  20. Questions • Coach does not want to provide a day off during the institution’s upcoming Easter vacation period. Classes are held during part of that week. • Is coach required to provide his student-athletes with a day off during that vacation week? • Side Out is a volleyball student-athlete at Ocean State University (OSU). OSU is playing against a school in Side’s home town this weekend, so Side would like to provide one of her comp admissions to her high school coach. • Is this permissible?
