Basic Concepts - What is “MyReports?” When you use PeopleSoft, the data is input into a “data warehouse” – which is exactly what it sounds like – a big electronic place where all of the data is stored for retrieval. You may have noticed that PeopleSoft is mainly geared toward looking up information in small quantities – i.e. the info about one student, or one class, or one semester. MyReports allows you to look at larger collections of data.

  3. Basic Concepts - Vocabulary There are several names for this system. MyReports – is the interface that you use to see the data. Data Warehouse – is the place where all the data is stored. Hyperion – is the software that everything runs in Brio – is the previous system EPM – Enterprise Performance Management is the project that is creating the new data warehouse. You will hear the system referred to by any of these names.

  4. Basic Concepts – Different Folders When you get into the system, there will be several different types of folders – understanding the folder structure will keep you from getting lost. There are four different sets of folders that you will use: • Welcome • Content • User • University Wide

  5. Basic Concepts – Welcome Folder The welcome folder holds training material and information about using MyReports. Please feel free to make use of the information.

  6. Basic Concepts – Content Folders When you apply for access, you specify which content areas you need. The content folders hold pre-built queries to the data. You copy the queries to your user folder to use it. This example shows two content folders: Student Records and HR.

  7. Basic Concepts – User Folders Any work that you do should be done in your user folder. Every user has a folder with their name on it, listed under the folder that begins with the first letter of your last name.

  8. Basic Concepts – University-Wide Folder You can also copy your queries into the University Wide folder so that others can retrieve them.

  9. Basic Concepts – Two Formats When you look at the data, you can do so using either the HTML format or the Interactive Reporting Web Client format. They both show the same data, but the navigation is slightly different between the two. You can set your Preferences to one format or the other as a default format that will be used when you open a query, but you can use either format at any time.

  10. Basic Concepts – Choosing a Format You can open a query by double clicking on it. It will open in the format you set in your preferences (more about that later). You can also right click on a query, select Open As… and select the format you wish.

  11. Basic Concepts – HTML Format This is what the HTML format looks like. For each query there is an “Info” section that describes the query and a separate section that holds the data.

Getting Started – Three Steps In order to use MyReports, you have to do these things: • Apply for an account (if you have an existing brio account, skip this step) • Download the plug in These steps are clearly described at the MyReports welcome page. http://www.asu.edu/it/eds/welcome.html In addition, you must set your browser to allow popups and downloads from the warehouse.   14. Pre-Built Query: Copying There are already queries that have been created by other people that you can use to pull data. To do this, look through the content folders to see if any of the pre-built queries gets close to what you want to know. If you find one, you will copy it to your content folder and then run it. Copying is a matter of opening the file and then “Saving it as” a new query in your user folder.

  15. Pre-Built Query: Copying – HTML Format Once you have opened the query in HTML format, choose “Save As” from the “File” menu. Navigate to your user folder and click on “Save”

  16. Pre-Built Query: Copying – Interactive Web Once you have opened the query in the Interactive Web Client format, choose “Save to Repository As” from the “File” menu. Navigate to your user folder and click on “Save”

  17. Pre-Built Query: Running Once you have copied the pre-built query to your user folder, you run it to see the data. Again, each format is run slightly differently. To run the query, you open it, and then (depending on the format) you run the query using your custom criteria. The next few slides will show how to run a query in both formats. :

  18. Pre-Built Query: Running in HTML This is what a query looks like in HTML format: Notice all the info that is available by clicking on the “info” menu. To run the query, click on the “Refresh” button. It will ask you to define all of the custom criteria -

  19. Pre-Built Query: Running in HTML When you click on the process button, a series of dialog boxes like this will appear, asking you to set eachcustom criteria. To see the list of possible values, click on the “Show values” tab. Click on “ignore” if all values are acceptable for that criteria. To select a specific value for a criteria, select it and click “set.

  20. Pre-Built Query: Running in HTML This is what typical results look like. You must click on the “results” menuitem on the left to see the results. You can further filter or sort the databy right-clicking on any column heading.

Pre-Built Query: Running in the Interactive Web Client This is what a query looks like in the Interactive reporting web client format: Notice all the info that is available by clicking on the “info” menu. To run the query, click on the “Process” button. It will ask you to define all of the custom criteria -

To see the list of possible values, click on the “Show values” button. Click on “ignore” if all values are acceptable for that criteria. To select a specific value for a criteria, select it and click “ok”.

  23. Pre-Built Query: Running in the Interactive Web Client This is what typical results look like. You must click on the “results” menu item on the left to see the results. You can further filter or sort the data by right-clicking on the grey button above any column.
