Case Study #6: JacciJoya Presented by Educational Leadership Website Team Matt Chong, Ronnie Clark
The scenario; let’s set the stage • Small rural community • 16,000 residents • New school built 7 years ago at cost of $31 million • 43 teachers • Strong commitment to technology • 575 computers in various locations • 8 computer labs • 9 servers • IT staff
The scenario; let’s set the stage • Rollout of new grade book program at Cunningham H.S. • Rollout of new administrative package software at C.H.S. • New software was implemented without input of teachers • New software was rolled out mid school year (Feb) • 16 months since the rollout • IT department did not formally train teachers • Nobody at the school was familiar with the software • Two teachers were selected to learn software on their own and coach others
Key stakeholders (who’s involved) • Administration • Coaches • Jacci Joya • Brandon Stohl • Six assistant coaches • Teachers • Software company’s tech rep • IT Staff
Performance issues • Skills/Knowledge • Software • Administration Needs • Clarity of Expectations • Motivation-Value • Teachers may not see improvement over old system • Motivation-Confidence • Coaches not confident they can overcome the flaws in the software • Some teachers could not understand the job aid • Jacci not confident that administration cares about faculty needs.
Performance issues • Environment • Software • DOS based vs. Windows based • Would not allow grade book to take attendance into account • User manual was poorly written • Only one copy of manual purchased • Tech rep was inflexible and lacked familiarity with software • IT Staff • IT and teachers not on same page • Room not ready for training day
Performance issues • Incentive • Coaches weren’t compensated • Six assistant coaches weren’t compensated • Problems with the old system?
Proposed solution • Software Analysis • Software Designer • Can the software meet our needs as is? • Company Representative • Other company training materials • Other schools • How is the software being used? • Training materials/job aids • Teacher use and satisfaction
Proposed solution • Gap Analysis • Expectations of Administration • Teacher performance during last grading period • Cause Analysis • Software deficiencies • Clarity of expectations • Job Aid clarity • Priorities of IT Staff
Proposed solution • Environmental Solutions • Ask company to modify software to meet school needs. • Ask administrators if they would consider new software. • Research new software outside School Manager. • Clarify role of IT Staff • Training Solutions • Clarify expectations of administrators with all teachers • Worked examples and practice problems • New Job Aid with printed list of expectations • Captivate or training videos for teachers to refer back to
Evaluation… • Environmental • Survey teachers on interaction with IT staff • E-mail teachers to see if modified software meets their needs • Beta test new software before purchase (if approved) • Training • Test teachers at the conclusion of new training • Survey department secretaries about teacher application of training at end of next grading period • Interview principal to ensure expectations are being met
