Recruiting for your EF Tour • It is essential to recruit as early as possible! - Lower costs for students the earlier they sign up. - Allows students time to raise money. - More recruiting time to get students/parents “off the fence”. - Allows you to work at a manageable pace. - More global points for you !
Before you start recruiting! • Start the following as early as 18 months (!?!) prior to departure: - Use the EF catalog to decide which tour will be best for you in terms of educational value, time, and price. - Work with your TC and ask them lots of questions. - Make sure you have a solid understanding of: program fees, cancellation fees , lifetime memberships, etc. - Present your tour plan to your superintendent before you have your first recruitment meeting, have administrative approval or know where you can meet/recruit. - Know your ideal group size.
Getting the word out about your tour! • Use posters, daily announcements, school newsletter, school website to advertise first meeting! • Make the first meeting brief and use it get people excited about the tour and gauge level of interest. - Have a short video clip (previous tour, YouTube, PBS) to create excitement about where you are going – be energetic! - Have EF brochures, website, cost analysis, deadlines for signing up, payment due dates, etc. - Have a sign up sheet (with contact info.) for those serious about trip, including those that actually apply at the first evening. Get applications on the first night! - Prizes for first students signed up (lock in early bird!).
Continued Recruiting • Put up new posters, add new announcements, check on status of students already signed up. • Have a second meeting within 3-4 weeks of the first meeting if you feel numbers are low. - Get students signed up/applications, use website to talk about on-line payments, Autopay, insurance. - Discuss fundraising and hand out enrichment meeting schedule. - Encourage them to help in your recruiting efforts, prizes for students who are able to “recruit” others. - Set expectations for payments (if not on Autopay) and future meetings.
Enrichment/Educational Meetings • These educational and informative meetings should begin within 4-5 months of departure. • Have one meeting per month. • Include something interactive at each meeting. • Keep meetings to one hour in length; don’t make it look/appear like a classroom setting. • Have informative websites for them to check out. • Sign up for roommate(s). • Set expectations/guidelines and discuss flexibility! • School release of liability ???
Departure Week • Have your last meeting within one week of departure. - Have extra copies of itinerary, packing list, flight information, and calling trees at last meeting and on departure day. • On departureday, try to leave from the school and use a school bus – school permission of course. - Confirm departure times with airline. • Thank parents for trusting you! • Relax and enjoy, the hardest part is over! It’s all good!
