Sign the IS Participation Agreement • An industry standard agreement, with the same terms applicable to all • Will be in the RAM, like other industry standard agreements • Will be published once review completed by the SIS SG • Needs to be signed in order to access the IS platform • Update your airline profile information - key contacts • Notify us of any corrections to controlled data • Set up your users • NOTE: No charges apply until SIS go-live in September
Why it’s worth it • We are still working with 50 year old processes designed around paper • Everything is computerised now, there is a better way • No more batching up of paperwork • No more envelope filling • No more shipment costs • No more ‘missing’ documents • No repeats of transmissions • No more reconciliation/settlement discrepancy problems • No more settlements with no invoice support • Common standards for the benefit of everyone in air transport • Ability to link with other IATA e-Invoicing services for additional value
What go-live means for you 2011 Sept Go-live 2013 Apr Mandate ~19 months Assuming you have at least one partner that is an early adopter… • Go-live is P4 of September 2011 • You will begin to receive billings through IS, but you still receive the paper… • Expected IS mandate is April 2013
Sept 2011 – 2nd and 3rd RMs via SIS 2011 Sept Go-live, RMs 2013 Apr You received an RM via IS and wish to reject (or initiate/continue correspondence) • As per Revenue Accounting Manual rules, you must continue all rejections and correspondence via IS • Some of your partners are likely to migrate rejections and correspondence as quickly as possible • If you haven’t migrated these types yet, you’ll need to log into IS-WEB and create the billing online
Dec 2011 – No longer receive all paper 2011 Sept Go-live, RMs Dec No More Paper 2013 Apr 3 months Your partner migrated some billing types to IS 3 months ago • A billing carrier can stop sending paper copies of invoices they’ve been sending through IS for at least 3 months • If you haven’t migrated these types yet, you’ll need to log into IS-WEB and download the billing data (invoices, coupon listings, supporting documents, etc) • Otherwise, you will see only the claim in the ICH F3 – no invoice as you know it today
Mar 2012 – Must bill some partners via IS 2011 Sept Go-live, RMs Dec No More Paper 2012 Mar Must bill via IS 2013 Apr 3 months 3 months Your partner completely migrated a billing category 6 months ago • A rule will be in place that disallows its partners (ie, you) from submitting claims in that category via the ICH WEB* • The participant could choose to make exceptions – but why would it want to? • Any claim would have to go through IS, and include the relevant coupon listings, supporting documents, etc – even if this is done manually (via IS-WEB). * The actual implementation details will be determined by the ICH Panel after consultation with RAWG and ACH.
Sept 2012 – IDEC service discontinued 2011 Sept Go-live, RMs Dec No More Paper 2012 Mar Must bill via IS 2013 Apr Sept IDEC discontinued 3 months 3 months 6 months The “old” IDEC service is discontinued • You will no longer be able to send any billings using the old IDEC format and your partners will not be able to bill you using the old IDEC format. This applies to primes and whatever other billings are sent via IDEC. • All data on old IDEC must be sent via IS; expect that you will receive all prime billings via IS – a lot of effort if you’re still manual
Apr 2013 – No direct ICH/ACH claims 2011 Sept Go-live, RMs Dec No More Paper 2012 Mar Must bill via IS 2013 Apr Mandate Sept IDEC discontinued 3 months 7 months 3 months 6 months Usage of Integrated Settlement is mandated • ICH WEB and ACH recap sheet service will be disconnected for claims submission • All claims must be submitted via IS and must include all relevant billing info • All your partners will be fully migrated by now – every incoming billing will be via IS * The mandate date is an estimate; the exact date will depend on acceptance of the solution, sufficient volumes, and approval by the responsible committees.
Think of the impossible… • The earth going round the sun • Sailing around the world • ‘Taking a picture’ without paper… • Landing on Mars • Banking, without ever setting foot in a bank • Weekly settlement…
Not just possible – real! • So why should SIS be any different?
Freedom is frightening • Our lives in interline are based around paper • Moving into a world without it signifies fundamental change in how we think and work • Challenging… • But impossible? NO! • E-Invoicing has been with us for years – it is just not universal yet • It may not be legal in some places now, but how long will it be until it is generally accepted in every country in the world?
So where to, from now? • Open your mind to the possibilities • Airlines are probably the most data-oriented businesses on the planet • Most of the services being provided in the industry are sourced from computers • The data needed by SIS is there in almost all airlines • Almost all paper originates from data – so why print it so you can bill it? • Think how your systems can be joined up, so that the data can flow
Final word • Integrated Settlement is on its way • In few months it will be live • It will affect everyone here • Make sure your teams are aware of the changes to billing rules and processes • Make sure your project staff have downloaded the IS Participation Guide from the SIS website • Make sure your invoicing units are on board • Make sure your departmental champions are assigned • Make sure you are signed up, profile data is correct, and your staff have log-on IDs and training before IS goes live • Look forward to a paperless world!
