  6. Duties of the Statistician (1) 1. Maintain the statistics on all swimmers in all age groups 2. Prepare the computer software for each home and away Meet 3. Order patches and awards as necessary 4. Prepare ribbons for each home meet 5. Ensure sufficient number of people (7) are available for the meet office (awards, scoring, clerk of course,....) 6. Supervise the scorers table to ensure accurate and timely Results. 7. Ensure results of meets are posted as compiled

  7. Duties of the Statistician (2) 8. Furnish each visiting team completed ribbons, entry cards and computer statistics 9. Prepare meet results on disk (email) and paper for the league 10. Provide statistics to the coaching staff as required 11. Provide statistics for letters and end of year awards 12. Write the meet results and submit to publicity for publishing in the “Stars and Stripes”, local newsletters 13. Ensure that meet results are posted in the statistics book Points of contact: Meet director, publicity, coaching staff, statisticians From other teams, league statistician

  8. Duties of the Meet Director (1) 1. Ensure sufficient number of people are available for Set up, tear down, cleaning, office and concessions 2. Confirm pool opening with pool staff 3. Prepare the concessions area (tables, coffee machine, broiler, cash box(es), etc) 4. Ensure that timing/starting system is in place and working 5. Ensure that PA system is in place and working 7. Ensure that entry procedures are coordinated with security 8. Ensure sufficient number of chairs, tables and clipboards are available for timers, starter and officials

  9. Duties of the Meet Director (2) 9. Provide sufficent number of stopwatches, starting aids (start gun, whistle etc) 10. Furnish each visiting team with your pool rules (day before meet), start and warm-up time and a road map 11. Prepare briefing for officals, timers and coaches 12. Provide briefing to officials and coaches about the conduct of your meet 13. Act as ‚Administrative Referee‘ Points of contact: Head official, publicity, meet coordinator, statistician, pool staff, hosting, concessions, meet coordinator from other teams Ref: USSRR Meetdirectors Handbook, USS Swimming rules and regulations

Meet checklist (1) • Before the meet • Are all swimmers entered in Team Manager for the upcoming meet ? • Print swimmers entries, check for completeness and special cases (DQ’s) • Commlink your meet data into Meet Manager – or • Email the CFILE to the hosting team • Make two copies of your CFILE (USB stick and paper) • You are at the meet • Integrate your data into Meet Manager • Print meet roster by team (2 copies) • Do changes and scratches

Meet checklist (2) • Seed the meet • Print meet program (1 copy for the Clerk of Course, 1 for the referee • 1 for each team) • Prepare list for starter • Print deck labels/cards • Run meet • Time stamp result printouts (protests !) • Print ribbon labels after each stroke • After meet duties • Print team score and • let it sign by the referee and all teams (coaches)

Meet checklist (3) • back-up the meet to disk for every team and the League (email) • print scoresheet and send them with the disk and the officials qualification form to the League statistician • or email results, send scoresheet and qualification form • give every team their event print-outs, ribbons, score sheet and disk (USB stick) • if requested, print meet summary • print top 10 individual scorers (triple winners) and give them together with the team scores to your publicity • Commlink your meet (team data) into your Team Manager • Get ready for the next meet

Special Items • Awarding 8 & Under • 8 & Under are scored seperately! • 8 & Under are getting there own awards (place ribbons) • Beat-my-time ribbons • Only if your team uses them • Every swimmer that swims a faster time than seeded (and swum before) in any stroke • Seed time must be from a regular meet, not practice or time trials

  22. Take care !!!! • Disqualification • Check the back of card for the reason of the DQ (Code) • Is this a valid reason ? If in doubt, see the Referee ! • Is the text missing ? See the Referee ! • Is second signature missing? See the Referee! • Questionable times • Check integrity of the times by lane. • Difference between times more than .3 seconds ? • Adjust times !!! Notify the Referee !!! • Permanent difference within the same lane, with the same timer? See Referee and Head timer !!!!

  23. Most Important • You are the Statistician, not a deck official • You will see all problems, errors, etc and solve them • You are the Statistician, not a deck official, you do not make decissions !! • Decissions are only made by the Referee !!

New Items • 200m Freestyle for 12 & Under (boys and girls) • Penthatlon scoring remains unchanged • No minimum seed times for regular season meets • Long Distance Meet • 10 & Under: 800 FR • 11/19 years: 400 IM, 800 FR, 1500 FR • Qualifications times, Records are established • Agegroups: 10&under, 11, 12, 13/14, 15/16, 17/19

New Items (2) • (1) Teams will not be able to host sanctioned meets if they did not attend the Clinics. • (2) Team results will not be authenticated for League Standings if the roster deadline is not met (20.09.07, 06.01.08). • (3) Team results will not be authenticated for League Standings if the results deadline is not met. • (4) Visiting Teams must notify the hosting team if they are unable to bring the required number of meet workers per EFSL Bylaw: 104.2 • EFSL Proposes as a minimum: • 1-10 Seeded swimmers = 1 volunteer • 11-25 Seeded swimmers = 3volunteers • 26-40 Seeded swimmers = 5 volunteers • 41+ Seeded swimmers = 7 volunteers

New Items (3) • Split times • Implementation of standardized Meet Announcement • Including whether Host team would take splits or not. • Splits may be taken in the following events: • Relays 4 X 50 m Medley & Free / leading swimmer (50m) • 200m I.M., first leg (50m) • 400m Free, first leg (100m) • 400m IM, first leg (100m)

  27. New Items (4) Score Sheets The host team is responsible for sending the results of all regular meets to the EFSL statistician by 2000 hrs on Tuesday night following the meet. A $50 fine will be levied against the meet host team whose results are not received by the deadline (time stamped); and another $50 for each 5 working days thereafter. The Divisionals meet Head Statistician must submit meet results to EFSL Statistician within 24 hours after the end of the meet; otherwise a $100 fine will be levied against the offending Divisional hosting team.

New Items (5) • Addendum to the Official Roster submitted to the EFSL Statistician • Team presidents are to send a statement with the official roster stating, “I certify that the swimmers listed on this roster are eligible to compete in the EFSL per the requirements listed in the EFSL Bylaws.” • Team presidents are to sign and send the following statement, “I, (team president’s name) have read and accept the EFSL Bylaws.” • This statement could be on the same sheet as the team roster • Statements must be scanned and emailed to the EFSL Statistician by the dates listed on the EFSL Calendar.

Age up procedures (1) • Set age-up date in TeamManager ( TM) to the actual age- up date for Champs (01.01.2009) • Enter your swimmer in their events • Export meet entries for MeetManager ( MM) • In MM set the age-up date to the day of the meet, if Your meet is before the 31th December. After this date it is always the age-up date for Champs. • Import the meet entry files. • Age-up the meet.

  34. Age up procedures (2) 7. Check the 12 years old swimmer whose birthday falls between the meet date and 31th December and will be 13 before the end of the Year. (They shouldn‘t have entries) 8. Delete the birthday and set the age to 13. 9. The entries are back. 10. Don‘t worry TM will sort all swimmers into their appropriate age group.
