Definition of Business Control Documents • Those documents that define how business transactions are to be conducted and managed. • In PDO only CMF Documents are business control documents • Policies, • Codes of Practice • Specification / Procedures • Guidelines

New publishing process: Roles Initiate Document Management • Sponsor document creation • Endorse & take ownership of content Owner Custodian Authoring • Use standard template • Determine meta data (e.g. bb date, link to EPBM etc…) Guardian (Doc. Ctrl’r) 1-stop-shop QC and publishing • Check for CMF compliance • Publish in CMF document register • Publish in EDMS Users Retrieve and use through CMF portal

Meta Data • Document Title • Document Code • Document Authorities • Document / Content Owner • The person responsible for the document content. As per Corporate Mgmt Framework (CMF) this must be a Director, a CFDH or an Asset Manager • Author (Document Custodian) • The person responsible for the document “production”. It can be the author, the document controller or the owner itself • A list of related CMF Documents • Parent Document(s) (e.g. a CoP must stem from a Policy) • A list of related EPBM processes • The EPBM processes the document refers to. • Issue, Review and “Best Before” Dates • A “Best before date” is the date before which a document revision should take place. By default this is two years from the publishing date.
