  2. Plan College of Coffee Analyze The College of Coffee is a click and mortar business that sells an assortment of specialty coffee and coffee products. Customers can purchase a variety of coffee products online and have it shipped to their location of choice. Design Develop Test Implement Maintain

Project Plan – System Requirements Plan Analyze • System requirements– Our system needs to scalable to be able create unlimited accounts for customers, have security to protect our customers’ information and our investments. It must be easily navigated and have a simple, organized, and effective flow to the website that anyone with basic computer skills will be able to operate it. Our system must be flexible and be easy to edit for administrators, but those options would not be available for anyone. • Assess project feasibility– Our feasibility studies include: a Schedule Feasibility Study and a Technical Feasibility Study. • For our Schedule, we want to complete our website in a timely fashion. Having milestones in place to determine when a portion of the project will be complete. • The Technical feasibility study is the ability to plan and build our website. Our project team have the abilities to create this website according to our proposed timeline. Design Develop Test Implement Maintain

Project Plan – Critical Success Factors Plan Analyze System requirements include: Ability to be viewed and properly operate on various browsers, have the ability for customers to easily navigate and search for products they are looking for. The system must be easy to update and edit. Critical success factors for the system:Our system will be a data-driven site, and have an attractive design. Our system needs to have a secure log in, and ability to create accounts instantly. We need to create a system with easy navigation to enhance customers’ experience will using our site. Another critical success factor would be having the ability to safely purchase online so customers’ information and credit card numbers are private and will not be access by anyone other that the banks where the transaction is made. Plan Project Plan - Timeline • April 11, 2012 – Develop a project plan, and start with the project analysis. • April 13, 2012 – Finish up the project analysis, design a website blueprint, and start the development phase and create a prototype. • April 15, 2012 – Finish the prototype and complete the database and website. Complete system testing. • April 16, 2012 – Final product received from programming and user documentation due. • April 23, 2012 – Launch website and databases to general public.   6. Plan Project Analysis Our company decided to create both the order process and the log in process of our system in order to make the design phase of our project much more efficient. Designing the order process diagram, will be a great way to visually depict the steps a customer will go through selecting a product to purchase. Seeing that a large part of our sales will be from the online portion of our business, mapping out the order process will help make the process a simple and enjoying experience for our customers. The log in process is crucial step in our system that needs to be secure, in order to protect our customers’ private information. By designing a diagram, it will enable our company to ensure the security and make it a more efficient process during the design phase. Analyze Design Develop Test Implement Maintain

Plan Analysis - Business Requirements • System must have easy login process and easy to navigate • Easy way to use metrics to determine the success of our website • System must be able to compare our product and prices with our competitors • System should allow our administrators to manage our company accounts, and for our customers to manage personal account • Our system will have an online customer representative present at all time • Easy accesses for people new to our website to create an account, for customers to browse and access our products from catalogue, view their shopping cart, pay for their purchases, and check out point. • The system must be able to track customers’ purchases, be able to have discounts available for a specific customer based on their loyalty to our company • System should have an online tracker so that customers can track their purchase Analyze Design Develop Test Implement Maintain

  8. Plan Analysis - Buy Versus Build Analyze To be more efficient in fixing errors and updating our website, we agreed that it would be more useful to our business to build our website. Having a staff member that can continually keep our website up to date and in order would be ideal for quality and control. Solving website issues will be a quick fix with I.T. personnel onsite.   9. Analysis – Log In Process Plan In the log in process, the customer will create a log in name and password if they are a new user to our site. If the customer is a current user to our site, he/she will already have a log in name and password that they will enter in the blank fields on the log in screen. After they have entered their log in name and password, the database will receive their information and approve them to access the home page of the site where they can begin to purchase products.   11. Analysis - Process diagram Plan CUSTOMER ORDER PROCESS Analyze After the customer has successfully logged into their account, they will be able to choose and search for the products they want. The products’ information will be retrieved from the product database. Once a product category has been selected, the customer can then decide to either purchase the products or log out of their account. If they choose to log out, then the customer database will exit their account information. If the customer chooses to purchase a product, the customer will then be directed to the payment screen which they will need to enter in their billing information which will be sent to the customer database to process the order. After the product(s) have been purchased, the customer can then log out and the customer database will exit their account. Design Develop Test Implement Maintain

  16. Plan Develop – Website Prototype Analyze For our prototype we wanted to use a lot of our web page space for advertising. We wanted our latest and greatest products right in front of the customer to promote sales. We chose bright sun yellows and warm oranges to create aesthetically appealing imagery to capture our customer’s eye. We had the navigational buttons on the top and bottom of the screen to create an easy way to navigate our website. Design Develop Test Implement Maintain

  19. Plan Implementation Method Analyze Our implementation method is going to be a pilot conversion. This means were only going to have a select group use the new system. More than likely this will be one of our store’s customers. We will randomly choose a store and the customers of that store will be asked to use our new system. Through their use of the system we will gauge whether or not the system can be implemented in the rest of the stores. If the customers have great success using our system then it will be implemented in to the rest of the stores nationwide. If the system is not working properly then it will be reconfigured to try and remedy the errors. Design Develop Test Implement Maintain

  20. Plan Implementation -Training Analyze Due to the fact that our company is a click and mortar company there will be a requirement to know how our system operates in the store. With so many store locations around the nation, we will have to have an expert at each store to teach the new employees how the system works. We will also hold re-training sessions annually to make sure that everyone is one the same page as to how it should be run in each store. We will have to make sure that the training is universal to every store because all of the stores will need to use the company website. Design Develop Test Implement Maintain

Plan Maintenance Analyze In order to maintain our website, we will have the IT department in the company run daily, weekly, monthly and quarterly scan on our systems to weed out any glaring issues, to ensure that the system is working properly and efficiently, and also to ensure that customers database are correct, and update on these basis. We will also be maintaining our website frequently to inform our customers of latest events taking place such as different offer, promotion and discount available to our customers. We will also be upgrading our system to make sure it meets our business objectives and goals, and to monitor the traffic on our website. We will maintain our website in order to answer our customers’ questions as it arise, to elevate any concerns customers might have, to ensure that each of our customers feel that the website was personalized for them which will strengthen the relationship between us and our customers. We also need maintenance to update the website design and format based on both our customers and employees feedback through surveys. Design Develop Test Implement Maintain

Plan Maintenance Continued • For the adaptive maintenance aspect, we will frequently make changes to the system to accommodate new and updated business requirements such as change in business climate, new technology, business growth, competition and new laws and regulation as necessary. Also to manage the flow and layout of information, to enhance our systems by adding new features, or remove old features that are no required, and to respond to problems as it arises. • For the corrective maintenance aspect, we plan to make repairs to any system defect, viruses, bugs and errors as soon as they are detected by out IT department • For the perfective maintenance aspect, we plan to be a step ahead of what our customers need by enhancing the system based on customers and employees feedback, we will frequently review which metrics are successful, and modify our system to improve functionality, reliability, and efficiency in response to our users. • For the preventive maintenance aspect, we plan to have specialized IT personnel in place that can anticipate any problems that might occur, and be able to correct the problem immediately.
