Introduction • ACT – Activity Contact Track, is the Lead Management System or in short we say it as LMS, is very effective tool to track all your day long Activities which could be activity done on lead or activity done at any branch level for lead generation (LGA) or any other (Non LGA) activity. • From the advent of ACT we have incorporated many changes, be it making user friendly or inclusion of various features in ACT to make it more useful keeping our core users’ in mind. • The Portal is accessible through the below URL: • https://choice-act.com/choice_act_html/#/login

  4. ACT Login & Dashboard

  5. ACT – Login Screen On the Top of the page shows News Bulletin Board with details of the Star Performers (SO/SM, ASM/RSM and ZSM) Login with Employee ID and provided password

  6. Dashboard - Business The bottom of the screen has a Bar Graph which shows day wise Business in the form of bar chart with 2 color codes. Blue indicates number of New Leads Added and Black indicates the number of Sales calls done and updated into ACT day wise.

Dashboard – Activities / Lead Sources / Sales Calls / Leads / Login & Issuance • ACT Home page gives an insight on the below details of the user/team: • Activity performed for the current month • Lead Sources under which leads for the month are created • Sales Calls for the month • Leads for the month • Target and Achievement (Issuance) for the month

  8. Dashboard - Activity Activity Tab in the Bar graph also provide another view of completed activities (Planned and unplanned) and missed from all Planned Activities on daily basis for the month as updated into ACT.

  9. Dashboard - Campaign Campaign Tab provides the campaign details like number of leads uploaded, % contacted, % conversion, etc.

  10. Home Page – Attendance(MTD) Attendance Tab provides us the MTD count of the total Absence, Presence, Absence Approved & Absence Rejected

  11. Dashboard – Branches/SP Branches/SP shows the details of the Number of branches, % touched, %Branches with no leads, % Branch activation & Branch productivity. The pie-chart shows the bifurcation of branches in the categories (Flagship, Star, & Basic)

  12. Dashboard – Leads Required to Achieve Target /NB Achievement / 1st Year Persistency This shows the additional & MET number of leads required by the employee/team to achieve the target. The speedometer shows the NB Achievement & 1st Year Persistency

  13. Dashboard – Employee View On the left hand side of the page shows News Bulletin Board with details of the Star Performers (SO/SM, ASM/RSM and ZSM)

  14. Dashboard – Supervisor View After selecting the Zone from Dropdown and clicking on Employee tab users’ coming under supervisors hierarchy will get name of all the So/SM’s RSM’s, ZSM’s and NSM’s. On clicking on any of them will show the current performance of the selected Employee.

Dashboard – Supervisor ViewEmployee Target Achievement (MTD) /Employee Last Month Incentive / Honors Club “EmpTgtAchmt” provides the details of the Monthly achieved targets for the team. “Employee Last Month Incentive” provides the details of the incentives earned by the team. “Fly High Campaign” provides the details of the slab status and slab reward based on the performance of the employee.

  16. Manage Activity – Planned Activity Manage Activity tab gives us the details of the activities needs to be done or activities done for the month. Planned Activities tab gives us information on the Activities which are Planned for the month, date criteria can be changed from the provided date selection option i.e. From and To Date On clicking View Details it gives information about the Activity, on clicking Mark Complete we can complete our activity and it will move to Reported activity, Cancel option is for Cancelling the activity and Postpone option is for Postponing the Activity

  17. Manage Activity – Reported Activity Completed Activity Tab shows the activities which had been marked as Completed by the user. It could be Planned or Unplanned activity In a similar way Cancelled and Postponed tabs gives us the information on cancelled/postponed activities

  18. Manage Activity – New Activity Under Manage Activity we get an option to create New Activity, it could be Planned/Unplanned Activity Dropdowns has been provided to select options, on selecting required options from dropdown and date on clicking Save activity will be saved in the system

  19. Tagging Leads against LGA

Tagging Lead(s) against Lead Generation Activities Once you complete the new activity creation and completion on ACT Portal, it is always suggested to tag leads against the activity completed in the branch on the same day. The lead tagging can be done within next 30 days of completing the activity. 1) Create a new activity by selecting “New Activity” tab under “Manage Activity” section. 2) Here we can see the Lead Generation Activity – “Loan Desk” is completed in CANDUMMY20 Branch on 08-12-2015. 3) Click on Save to Submit the Activity For tagging the leads against this activity, please refer to the next screenshot

Tagging Lead(s) against Lead Generation Activities Here you can see that the Completed activity is reflecting for tagging the leads Before you proceed, you already aware that “Loan Desk” is completed in CANDUMMY20 Branch on 08-12-2015. Now here are the steps:- 1) Go to ‘Create New Lead’ Section under “Manage Leads” 2) Upon filling up details and selection of Channel, Branch, Source and activity type - the Lead Generation Activity will appear in Activity Type as “06-07-2018 Loan Desk” which is the activity to tag lead against. 3) Now fill all other mandatory fields and save the lead 4) Click on “Save” to Submit and Tag the Lead against activity

  22. Activity Report – Channel Branch Activity Reports tab helps us to understand the count of Activity done in the month for which date range has been provided i.e. From & To Date

Activity Report – Channel Branch Activity Reports tab helps us to understand the count of Activity done in the month for which date range has been provided i.e. From & To Date Under Channel – Branch tab it gives you the count of Activity Done on the basis of Channel & Branch. +/- marks helps you to drill down the branches for the channel. Clicking on channel name will give you the count of activity done for all the branches associated to that channel whereas clicking on branch name will give you the details of activity done in the selected branch

Activity Report – Employee Wise Activity Reports tab helps us to understand the count of Activity done in the month for which date range has been provided i.e. From & To Date Under Employee tab it gives you the count of Activity Done on the basis of Channel & Branch. +/- marks helps you to drill down the hierarchy of employees.

  31. Query Analysis Have you ever been dependent for MIS on someone? You have a Con Call in an hour and need to have the data but not sure from where to get it? Well these are some of the day to day concerns our Supervisor face. Query Analysis is the tool to help everyone in such cases or other where user can make their own MIS report by just downloading it from ACT portal by using Queries and Operators

  32. Query Analysis – How to Get Data ? For an instance let’s consider we want all leads that are uploaded after 05/06/2018. Select the desired/required fields from dropdowns and select the Valid Value as 05/06/2018 and then clicking Add Filter and Get Data, you are ready to go with the report and also to download click on download button and save the file for future reference.

  34. Prospect Search Ever wondered from where to get information for an Old Lead which you have dealt with couple of years back? Prospect Search is the perfect answer for it. Using this option you can search any lead using their mobile number or by their initials.

  35. Prospect Search – How to Get Data? Here for example I would like to search for leads having 987 in their mobile numbers. On the field search area I need to type the name of the person and hit search, all the names under my bucket which contains ABC will be shown up in the screen Through this search option we can only search the names but can’t make any changes or update any sales call in the lead

  36. Activity Calendar & Team Details

Calendar Calendar as the name says gives us access to view our past activities done and upcoming activities or appointments that has to be done From here also sales call updates can be done, lets learn how to do it in next slide Various color codes has been provided which tells which activity were/about to be done, for example on clicking green color under 02nd Jan ‘15 we get the sales call in the balloon provided on the right hand side

  38. Calendar – How To View or Update? On clicking the lead name we get in the balloon we get the pop up window shown in the slid and from here only we can update the sale call on the lead on clicking the Sales Call button

  39. Calendar – Lead Updating On clicking the Sales Call button we get the follow screen from where we can select the dispositions as per the call outcome and update the call

  42. TEAM DETAIL Team Details is beneficial for Supervisors above the hierarchy level. This tool can be used to have a brief view of team’s performance for the specific period, again date selection format has been given.
