How to use Phone Conferencing at NPS Up to 3 participants or 4 to 24 participants
Up to 3 participants You can easily host a small conference for up to 3 participants using only your telephone
Up to 3 participants on Avaya phones • Make your first call • Press the Conf button • This puts the first call on hold and gives you a second dial tone • Make the second call • Press the Conf button again
Up to 3 participants on generic phones • Make your first call • Press the switchhook (or flash button) • This puts the first call on hold and gives you a second dial tone • Make the second call • Press switchhook or flash again
More than 3 participants • To host larger conferences (up to 24 participants) you will need to use our Sonexis Conference Manager bridge • You’ll want to schedule your conferences in advance to insure there are sufficient conference ports available at the time. • The best way to schedule a conference is using the Sonexis button in Outlook
What do I need to do? To schedule Sonexis conferences you need: • Sonexis software in your Outlook • Verify you see a Sonexis button in Outlook • If not call the TAC at ext 1046, provide your computername • A conference ID assigned to you by the TCO • Email tco@nps.edu • Provide your NPS office extension, computername, and department • Your Conference ID and initial PIN will be emailed to you • Log into http://blueridge.nps.edu and change your PIN • Configure your ID and PIN in Outlook the first time (details follow)
First time use – you’ll need to provide the Conference ID assigned by the TCO • In Outlook select • Tools / Options • Sonexis tab • Provide your • Conference ID • PIN • Server URL is • http://blueridge.nps.edu
Same form as typical Outllook meeting, with the addition of a Conference Details tab
Inviting attendees the same as you would for a typical Outlook meeting
Attendees are sent a meeting request with details (email to non-Outlook users)
Deleting or changing a meeting in Outlook also cancels your conference call reservation
Ad hoc conference calls • Once you are assigned your Conference ID, you can start an unscheduled phone conference anytime “on the fly” • From off campus call (831)656-6500 • (ext 6500 from internal phones) • Follow the prompts • Only available when ports have not been previously scheduled • Your conference will end (with warning) if it is about to overlap a scheduled conference
Conferences also can be scheduled at http://blueridge.nps.edu, but changes made here will NOT synchronize with your Outlook calendar
