Exit Process Presented by the Human Resources Department April 2000
Purpose of Exit Process • Regain possession of College equipment and supplies • Information gathering and assessment tool • Provide critical information to separating employee • Improve quality of work life at the College • Provide closure to the separating employee
Primary Reasons for Separation • Retirement from the College • Transfer to another state agency or college • Voluntary resignation
Notification of Separation • Immediate notification of separation to Human Resources • Supervisor to notify HR as soon as possible • phone call • email message *Follow-up ASAP with resignation letter
Benefits Summary • Providing Critical Information to the exiting employee • Provide information regarding COBRA for continuation of medical insurance • Provide leave balances to employee • Provide information regarding the pension plan options (PERS,TRS, TIAA-Cref)
Return of College Property • It is the employee’s responsibility to clear any outstanding obligations such as • returning keys • returning borrowed media services materials • It is the department’s responsibility to notify HR of any outstanding obligations prior to release of final paycheck
The Exit Interview • Primary Purpose • Gather information to improve employee relations practices • Spot developing trends • Identify areas of weakness • Identify areas of strength • Sharing Information • Data is stored and maintained in a database • Distribute information in an annual report to President’s Cabinet • Make annual report available on the U Drive to the Campus Community
Confidentiality Issues • Specific responses will not be attributed to the exiting employee unless permission is given by the employee. • Responses will be reviewed by the Human Resources Department and potential discrimination or liability issues will be handled immediately
Responsibility of Parties • Supervisor is responsible for immediate notification of separation to Human Resources • Human Resources is responsible for initiating and following through with the exit process • Employee is responsible for returning all College equipment and supplies and for completing the exit interview • Department is responsible for ensuring the return of College equipment and supplies
