Overview of Roles • Facilitators manage roundtable discussion • Breakout group discussion should stay on-track (limit sidebar discussions) • Review the discussion topics that were distributed in advance and develop questions or practices that would be of use to the group • Stimulating discussion and engage all participants in the breakout group. All breakout group participants should discuss the challenges that are unique to their companies and the procedures that have been implemented • Try to remain objective (let the participants determine direction of the discussion) • Scribes capture the discussion • Record challenges identified by roundtable participants (do not include information on contributor or company name) • As the group discusses top practices, make note of the contributor, the benefits of practice implementation and any additional considerations • When needed, help facilitate group discussion
Group introductions • All breakout group members begin group discussions with introductions • All breakout group members will note: 1) name, 2) roles & responsibilities, 3) company and 4) challenges they hope to discuss during the roundtable • Responsibilities • Facilitator: Begin introductions and encourage participants to be open when discussing challenges. None of the challenges that are captured in the discussion notes will be associated with a specific company • Scribe: Make note of all of the challenges that are described. Some challenges that are discussed may be related. Please group like-minded challenges together.
Structuring group discussion • After introductions have been made, the group will need to begin framing the initial discussion. The group will review the challenges that were noted as well as the general topics that were selected prior to the roundtable. • The challenges will be grouped according to general category and the category that is the most common will be selected first, the next will be selected second and so on • Responsibilities • Facilitator: Lead the group through the grouping of the challenges. If a challenge is not discussed during the roundtable, participants will have the opportunity to follow up with their peers outside of the breakout group discussion • Scribe: Prioritize the challenge categories according to the group discussion
Identify & Select Specific Challenges • The group will select specific challenges for each of the top three general categories • The discussion is divided on the agenda according to the three general challenge categories. Identify the specific challenges for the first challenge category and prioritize these challenges • Wait to identify specific challenges that apply to the second and third until later in the agenda • Responsibilities • Facilitator: Lead the group in prioritizing the specific challenges identified. Have the group vote on these specific challenges. The breakout group will discuss practices to address the top three challenges selected for each category • Scribe: Prioritize the specific challenges according to the group’s voting
Discuss “best” practices • The group will discuss the “best” practices that would address the challenges noted • How are the participants companies addressing the challenge listed? What works for their operations? Why does it work? What are some restrictions or considerations that apply to this approach? • Participants can be hesitant to submit a practice to the group as a “best” practice. Don’t hesitate to call on specific group members to get the discussion started • Responsibilities • Facilitator: When participants are suggesting practices, ask them to note: 1) the specific benefits they have seen from implementing this practice and 2) what others should consider prior to applying this practice • Scribe: Make note of all of the practice considerations and the individual who submits each practice
Selecting “best” practices • The group will vote on the practices submitted for each challenge • The top three practices will be noted as the “best” practices. After practices are selected for the challenge topic, presenters will need to be selected for the final day. One presenter will need to be selected for each general challenge topic (there are three general challenge topics, so there will be three presenters for each breakout group) • Responsibilities • Facilitator: The presenter selected should be able to speak to the practices selected. This individual should have submitted at least one of the practices or feel comfortable speaking to them • Scribe: Make note of presenters selected
Important Considerations • Time is always the biggest challenge • The breakout group will have a large volume or information to cover in a short period. In order for the time to be valuable and comprehensive, the facilitator and the scribe must be mindful of the time • Encourage the breakout group participants to take their own notes • The meeting facilitator and scribe will do their best to gather as much information as they can. Every participant comes to the meeting with unique challenges in mind. All participants should take their own notes to address these challenges. These notes will supplement the notes that are distributed by AGA • Be mindful of the anti-trust guidelines
