EDI Letter to Vendors Dear Valued Vendor, You are being contacted because you are not exchanging selected business transactions such as purchase orders, invoices and advance ship notices electronically with Rite Aid. Therefore, Rite Aid and SPS Commerce have partnered in order to offer you very cost effective electronic solutions for enablement. Our goal is for our vendor community to support this initiative of exchanging these transactions electronically. Vendors delivering merchandise to our Distribution Centers for resale are required to support all three transactions. Those vendors delivering non-resale merchandise are asked to support exchanging the purchase order and invoice electronically. Also, we encourage you to visit Rite Aid’s Supplier Portal and reference the Vendor Supply Chain Guide located at https://raportal.riteaid.com/RA/RAPORTAL/RAMN0001.aspx. This applies to vendors delivering merchandise to our Distribution Centers for resale. As a market leader for enablement services, SPS Commerce offers several custom solutions to enable compliance, even if you do not currently utilize or have an EDI system. Utilize SPS Commerce’s File Integration service, an option for our high volume suppliers that do not currently use EDI. EDI: What are my options? Test Existing EDI Software with SPS’ Testing Service The EDI Testing service is a hosted testing platform that simulates and parallels the production EDI environment of Rite Aid. The service provides you with test orders and data unique to your business to help your organization efficiently develop, build and test the transaction maps, connectivity with your VAN, assure proper interaction with your accounting system - in other words everything your I.T. staff needs to do get your EDI software working with Rite Aid. • The service is available for use on a 24/7 basis and is staffed with a call center of dedicated, EDI specialists trained on the updated guidelines of Rite Aid to minimize each supplier’s efforts in updating their existing EDI solution for production use. • If you don’t have an EDI solution in place, you can elect to use one of SPS’ certified solutions to meet Rite Aid’s updated EDI requirements. We’ll cover the available options on the next slide.
EDI: What are my options? Choose one of SPS’ Hosted EDI Services Option 1: File Integration The most advanced service where data is exchanged between your accounting application and Rite Aid directly WITHOUT data entry. SPS has a simple interface to make it easy for vendors to integrate their accounting system to SPS without knowing the ins and outs of EDI. We also have “out of the box” adapters for many popular accounting systems like PeachTree, QuickBooks, MAS/90, Macola, Great Plains, as well as many others. Option 2: WebForms A simple utility that operates in a web browser. PO notifications are sent to you via e-mail where the user is able to access the actual PO with a single mouse click. Returning ASN’s and Invoices require a minimal amount data entry to send data back to Rite Aid. The service helps reduce data entry by automatically loading many of the fields for you. The remaining fields are entered by you and error checking helps prevent you from submitting forms with typographical errors. This service can also be used with over 700 Retailers, like Rite Aid, whose electronic requirements are already operational in our data center. Option 3: FAX Service This option is easy. All you need to do is send and receive faxes to a new phone number. SPS commerce will perform the data entry and conversion of the fax to electronic format back and forth with Rite Aid.
