  10. RFN - Docushare How did we get there? Paper Document Organizing 1 Hardware/software Installation 2 Scanning/Conversion 3 4 User training / Implementation 5 Maintenance and Monitoring 6 Research and development of procedures and Documents 7 Planning for the future

Step 1 Paper Document Preparation Find and organize This is an example of what we started with, 2000 plus bankers boxes throughout the organization Prepare for scanning All files and folders within prepared with scan sheets including, department, subject, and dates Scanning Over the course of 5 years, 1400 boxes scanned creating 285,445 files @ 640GB

  12. Step 2 Hardware/Software Installation Hardware IBM Blade servers running MS Hyper-V house software, Xerox Print/Scan/Copy Devices for scanning. Software All Docushare software along with an SQL server is installed on separate Hyper V virtual servers.

  13. Step 3 Scaning/Conversion Scanning/Conversion EDMS files from previous system converted to PDF/docushare format with metadata in tact

  14. Step 4 User Training & Impementation Training All RFN employees required to take DocuShare training Implementation Program and process for all paper documents and future electronic documents approved by council

  15. Step 5 Maintenance and Monitoring Maintenance Software maintenance is simple and backed by periodic updates from Xerox Monitoring Monitoring tools for Docushare and Xerox hardware through Browser Interface

  16. Step 6 Research and development of procedures and Documents RFN Info Systems is currently reviewing documents and procedures with dept managers. CPX licensing and Eforms play a big part in this. Test Eform is being created with Xerox developers.
