  2. Presentation structure • Roles in the 1st TA conference organisation • Next steps and schedulling • Planning Committee - tasks summary

  3. 1. Roles in the organisation: TC ASCR • TC ASCR and KIT/ITAS = organisers – consultation of modules and schedule with the consortium and the PC • TC ASCR hosts the 1st conference – responsible for the programme, invited partners, organisational issues – e.g. booking the venue, organising hotel accommodations, catering services and providing conference documents for participants. (2/13) • TC ASCR publishes conf. papers – PPTs, speeches, discussions results, round tables to be summarised by rapporteurs. (4/13)

Roles in the organisation:KIT/ITAS • KIT finalises the CfP, distribution list • KIT invites: • Keynote speakers for the conference thematic topics; • Rapporteurs to present the results of T2.1/2.2/4.1/4.2 • Politicians and stakeholders who could initiate an open societal dialogue; • Scientists (Call for papers). • KIT participates on dealing with organisational issues, elaborating the programme – topics, themes, panels..

  5. 2. Next steps and schedulling: Part I • 2/12: Organisational questions to be solved (1/2 days?, venue - booking, date, speakers incl. PACITA outcomes) • 3/12: CfP final – published and sent, distribution list (consulted with PC), keynote speakers asked • 6-7/12: Facilities booked, CfP evaluation – draft list sent to partners • 8/12: inviting keynote speakers, round-table participants, moderation + sending preliminary invitation (translated and adopted by each partner)

Next steps and schedulling: Part II • 10/12: Finishing the programme – sent with practical information, online registration (website?), partners to be invited - identified with all partners • 12/12: List of rapporteurs, participants – final • 2/13: 1st TA Conference Prague • 4/13: PPTs and speeches, discussions summaries from rapporteurs published

Planning Committee: Tasks summary • Call for papers, distribution list consulted – till March • Keynote speakers recommendations – till August • Invitation letter comments – till August • Programme finalised – till October • Partners to invite – till October • Rapporteurs, round-table participants, moderators – till October • Layout / website – ways of dissemination discussed throughout 2012
