Before You Begin… For training purposes during first time use, use A as the username/password to login to POS. Sync and then exit POS. Then allow school staff to use their username/password to log on to POS.
Introduction to POS In this training session, you will cover the following: • Log In to POS • Sync POS • Cash In to POS • Re-Set the Total • Review of Beginning of Day Procedures • Assign Menu Items to Shortcuts • Import Default Shortcuts to All POS • Types of Sales • Place a Cash Sale • Account Warning Types • Search Options • Lock the POS • Unlock the POS • Cash Out of POS • End of Day Procedures • Run Offline
Log In to POS • Click on the FSS POS icon to open • Click on to log in • To enter Cashier Log In Name and Password, click on and a keypad will appear on the screen • Click when done entering Name and Password on the keypad • Click OK when Name and Password fields are completed
Sync POS The Sync function exists for the purpose of making sure all information on the local database is current, should the connection to the server is lost. The ideal routine is to sync before cashing in and after cashing out. • After you have logged in, click • The Synchronization screen will appear • Click OK • The Synchronization window will disappear when the sync has completed
Cashing In to POS • After you have Synced, click Cash In • The POS Cash In/Out window will appear
Cashing In to POS (cont.) • When you cash in, only the Opening column will be active • Enter the full starting amount in the Change field • Click Set(you MUST do this!) • If done correctly, the opening total will appear in the Total field under the Opening column • Once you have checked to see that the Total in the Opening column is correct, click OK Reminder: If upon clicking the Cash In button and the POS Cash In/Out screen is bypassed, it means the previous session (most likely from the previous day) was never cashed out. This could possibly throw off the report figures. If this is the case, where the report figures are incorrect, know that if you combine the reports that are off with the previous day's reports, the cumulative value of the two should be correct for both days combined.
Re-Setting the Total If you need to adjust or remove an amount already Set, click inside that field and click Clear. At this point, only the green value above the keypad will be cleared. To apply the modification to the total, you still MUST hit Set!
Review of Beginning of Day Procedures Your cafeteria has opened, and you're ready to start up for the day, so what do you do? • Log onto FSS POS • Click the Sync button • Click the Cash In button
Assign Menu Items to Shortcuts • Click the FSS POS icon to open • Click on the left-hand side • The POS Wizard-Devices window will pop up • Click twice to get to the screen below • Insert the number of tabs (pages) of shortcuts you want in the Number of Shortcut Tabs field • Click
Assign Menu Items to Shortcuts (cont.) • The POS Wizard – Shortcut 1 window will appear • Click any grey button • The Menu Item Search box will appear • Select a Category • Select a Menu Item • Click
Assign Menu Items to Shortcuts (cont.) • If you have inserted more than one tab for shortcuts, you can access these additional screens by clicking located at the bottom of the POS Wizard window • Follow steps on page 11 to assign menu items to any additional shortcut buttons
Import Default Shortcuts to all POS • Click the FSS POS icon to open • Click on the left-hand side • The POS Wizard-Devices window will pop up • Click twice to get to the screen below • Click on Import Shortcuts
Import Default Shortcuts to all POS (cont.) • The POS Quick Search window will appear • Click on the POS you want to have all POS shortcut tabs to resemble • Click
Types of Sales • There are three types of sales: • Student Cash Sale • Guest Cash Sale • Account Sale • Processed either by the student identifying through a pin pad, barcode/magnetic id card, biometric unit, or by searching for their account
Place a Cash Sale • Click Student Cash Sale or Guest Cash Sale • If the customer is not a student, and the transaction is a cash and carry sale, Guest Cash Sale must be chosen. Not paying attention to this detail could result in incorrect report figures, along with an inconsistency in the actual deposit amount • Select the items to be sold by touching the shortcut buttons corresponding to each food item • Shortcut buttons can be located on different pages (SC2, SC3, etc.) • When order is complete, click to finalize the transaction
Applying a Payment – No Sale • Have the customer identify themselves with the system via print, bar code, search, etc. • Click on
Applying a Payment – No Sale (cont.) • Enter the amount the customer is depositing • Then click on the corresponding form of payment: Cash or Check • On the right pane, you will notice the amount you entered will appear • If the total is correct, click Total • If a check is used to make payment, a screen will appear prompting the check number

Applying a Payment – with Sale (cont.) • If there is change due, you will have the option of: • Giving change back in cash • Applying the change to the student’s account • Ala Carte
Account Warning Screens • The POS software is designed to alert the cashier if one of two situations exist: • the customer has a low account balance • the customer is not allowed to purchase ala carte items • The cashier has the option to Override or Cancel the order • If you do not want to Cancel the entire order, simply click Override and then delete the item off the list
Search Options on POS • You can search for a customer by: • Homeroom • Grade • Last Name • First Name • Customer’s ID • PIN Reminder:You don't have to always know the full first or last name to search for a customer. For example, if you only type in 'SM' and click the Last Name button, the search results will display Smith, Smeal, Smart - anyone whose last name begins with those two letters.
Search Options on POS (cont.) • Click • Enter the search criteria and click the appropriate button. If you type in the last name, make sure to click the Last Name button; if you type in the first name, make sure to click the First Name button, etc. • Click on the student’s name and press Order
Lock the POS • Lock the POS by pressing • To unlock the POS, enter the password for the user • Press
Unlock the POS Q. How do I unlock the POS when the image below is displayed? A. The cause for the POS locking is because the previous cashier logged out and/or exited without having cashed out first. Have the cashier displayed on the screen log back into that specific POS, cash in, and cash out. This will finalize and close the session causing the issue.
Cashing Out of POS • When you are completed with all transactions, click Cash Out • After you count your drawer, enter the amount of cash into the Change field, and check amounts into the Checks field • You can then click on the Statistic button to view your transactions for that day • When done, click OK • Click Sync
End of Day Procedures Your cafeteria has closed, and you're ready to finish up for the day, so what do you do? • Cash out of the session • Click the Sync button • Click the Log Out button • Click the Exit button to shut the POS
Run Offline Since the POS system contains the ability to run offline, lunch can continue despite loss of server connectivity. If the system should choose to process the transactions locally at any given point, the offline icon will appear on the POS front page. Other than that, running offline should be completely transparent to the cashier. Reminder:Because the transactions are stored locally when the system jumps to running offline, the POS absolutely must be synchronized in order for the server to have the up-to-date data and for the POS to revert to processing online!

POS Reference Guide • Increases the quantity of an item purchased (while on transaction screen) • Decreases the quantity of an item purchased (while on transaction screen) • Deletes an individual item from an order • Cancels an order entirely • Allows you to make payment to an account • a customer either just wants to put money on his/her account & not purchase anything or the customer is purchasing items & is also going to give you money toward payment of the order. ***REMINDER*** if the customer is giving you money and they're NOT purchasing items via a cash sale, this button must be clicked; otherwise, the system will automatically assume the money is to be deducted from the account. • Finalizes transaction
