  3. Selecting your tools: • Computers and monitors This is crucial to an efficient yearbook program The best option is to have one computer per editor • Network Each school has a different set of rules that apply however, ALL of the computers must talk to each other

  4. Selecting your tools: -Cameras Create a kit for all cameras. Purchase large CF cards .2GB, they are very cheap! Purchase 1 sports lens for better sports photos -Fun Stuff Fridge for treats I-Tunes Starbucks cards for performing students Deadline pizza parties Late night parties

  5. Organization: • It is the key! (one of them) • Image folder sequence. 1 computer must be designated for image downloading. If the images are spread out over all of the computers, you are sure to loose images. • Photo management Run a Photoshop action to re-name all of the images to a specific set of rules. CMYK-Curves-Sport or Activity-Folder Destination

  6. Organization: • Backup workflow All pages and image must be backed up each night. Backup to an external hard drive. • Desk organization Desks and workstation must be clean.

  7. The Ladder: (your roadmap) 60% of yearbookin is organization and planning! • HJ Planner If you are not using E-design, this is a great way to make your ladder electronic.

  8. Deadlines: • Plant deadlines VS school deadlines The students only need to see the school created deadlines. • Deadline sections The first step is to decide what sections will be submitted on which deadline. • Staff deadline goals and awards It is important to set weekly and monthly goals for the staff.

  9. Financial Planning: • Remember, you are the only club that sells the annual history book • Yearbook awareness is the key!! • 2 income sources: Ads and book sales • We are in a “value meal society!" Sell packages! • Sell items in your packages that are profitable for the staff.

Packages: • Package A: Thrift package- Yearbook only. $50.00 • Package B: (Best Value)- Yearbook and personalized name stamp. $60.00 • Package C: (Platinum package) yearbook, name stamp and a plastic cover. $65.00 • Package A: School earns a profit on the yearbook only. • Package B: The school earns an additional $7.00 on the name personalized. • Package C: The school earns an additional $11.00.

  18. Signature match up: It is very important when possible to submit pages in full signatures and not random pages. Why is this important?

  19. QPP or Quick Panel Plus: • Data files It is so important to provide your school photographer with clean data. This is the beginning of all sorrows if the data is missing important fields. • Request a photographed list for section building. If you do not know number of students photographed per grade, the panel pages will not be created correctly.

  20. Coverage: • The yearbook is for the entire school The more people that are pictured in the book, the more book that you will sell. People are IN LOVE with themselves. Building on this knowledge , we can truly sell more books.

  21. Covering all your sports games. It is imperative to cover all sport and activities.

  22. Seniors: • If seniors are in the book, they will buy one. Always promote senior portrait and ad sales to better increase senior book sales. • Senior quotes Proof read all quotes! A good way to stay out of the fire is to have the senior sign their name next to their quote.

  23. Create a proof book It is a great idea to print out every page of your yearbook and keep it in a folder in book form.

Page Creation: E-Design E-design is the Herff Jones online page creation software that is free of charge and can be used from school, home or Starbucks InDesign InDesign is the Adobe page creation software that is installed on a computer locally and has way more in-depth options for page creation.
