  1. Building a Healthy and Effective Parent Organization Rod Gilbert, Head of School Carla Smyrl, RPC Chair 07-08 Regents School of Austin SCL Austin, TX June 26, 2014

  2. Common Questions as we build our parent organization • What is the primary responsibility of the organization? • Who do they report to in the organizational structure? • What are the guiding documents that define the organization? • How do they manage money and collect dues?

  3. 7 Principles to Build a Parent Organization

  4. 1) Teamwork makes the dream work! • Know the roles and duties of each major group • Board • Administration • Parents • Support each other through prayer • Share info and advice • Be careful to not overstep boundaries. • You have enough to do within your own sphere.

  5. 2) Write By-laws and stick to them • Get on the same page • Define your shared value propositions • Avoid adding more and more things… • Update every 3-4 years

  6. 3) Recruit/Build Core Team • Regents has a Regents Parent Parent Council. • The RPC Chair is the leader • Chair meets monthly with HOS. • Chair gives monthly report to Board, but never asks for permission (we will explain). The Report Informs the board about what did happen last month and what will happen next month. • The RPC Executive Committee is the Core Team • Some thoughts on variations of the Core Team

  7. 4) Communicate, Communicate: With the School Leadership RPC Executive Committee meets once per month. RPC Chair meets with Head of School once per month. If a situation arises, the Chair will contact the HOS early. RPC Chair gives report to Board at each board meeting.

  8. 4) Communicate Communicate: Committee Heads • Training is the Key! • The Notebook….. • Giving them a little room for creativity each year. • Give them boundaries so that too much change does not occur each year.

  9. 4) Communicate, Communicate: New Families • Teach new families the value proposition of your organization. • Create ways for new families to share their talents. • Set up new families for early “successes” in volunteerism.

  10. 4) Communicate, Communicate: Parents at Large • Annual dues • Volunteering happens outside of the official parent organization. Promote this fact. • Example, Regents Dad’s Curbside Service is NOT under the umbrella of our Regents Parent Council (RPC). • Communicate in the Weekly Newsletter

  11. 5) Strive for Simplicity • Start very small – think “early wins” for this coming year. • Limit events. Do not let “good” events crowd out the most excellent things. • Have multiple purposes for one event – i.e., Our Fall Family Social

  12. 6) Be flexible • Update and revise committees • Challenge your own processes from time to time • Core principles can be accomplished through various and ever-changing practices. • Leaders are responsible for CHANGE and RATE OF CHANGE.

  13. 6) Be real! Share rememberwhenisms…. • Tell your good stories regularly • Newsletters – brag about the good work being done • Thank people with notes and public affirmation • Continue to “woo” the hearts of your families with the core values of the school.

  14. 7) Just ask, and they will come • Say yes, and set a positive culture that looks for ways to express ongoing, authentic Christian hospitality

  15. Regents School of Austin – 0ur mission . . . . . . IS TO PROVIDE a classical and Christian education FOUNDED UPON and INFORMED BY a Christian worldview, that EQUIPS students to KNOW, LOVE AND PRACTICE that which IS TRUE, GOOD, AND BEAUTIFUL and CHALLENGES them TO STRIVE for excellence as they LIVE purposefully and intelligently in the service of God and man.
