  1. The Indiana Department of Correction presents New Employee Orientation: Public & Media Relations

  2. Performance Objectives Staff will: • Be able to identify who is responsible for media statements. • Be able to identify the appropriate steps to request approval to make public speeches or presentations. • Have knowledge of what topics they can speak on during an approved speech or presentation. • Have knowledge of how to follow-up after making a public speech or presentation.

  3. Media Information • The Facility Head or designee shall oversee the release of information concerning the facility to the media. • Staff shall refer all media inquiries to the Facility Head or their designee. • Staff are not to make public comments or statements to the media as representatives of the Department without the approval of the Facility Head.

  4. Speeches and Public Appearances Staff contacted to make speeches to members of the public shall: • Contact their immediate supervisor, and if approved; • Contact the Facility Head or Public Information Officer (PIO).

  5. Speeches (cont.) • The Facility Head or Public Information Officer may be able to provide the staff with additional information to assist in the delivery of the speech or presentation. • Staff making speeches or presentations should speak only on those topics in which they have personal knowledge.

  6. Speeches (cont.) • Staff shall refrain from commenting on departmental policies or future planning. • Staff shall ensure they do not share confidential information. • If questions are asked that staff cannot answer, they must defer the question to the appropriate staff.

  7. Speeches (cont.) • If asked to give an opinion, staff shall state their response is a personal opinion and it is not necessarily the position of the Department. • After making a public speech or presentation, staff shall advise their supervisor of the results of the speech/presentation.

  8. Speeches (cont.) • Anything controversial or potentially damaging to the facility or Department shall be reported to the Facility Head or the Public Information Officer as soon as possible. • The Facility Head shall report the incident to the Director.
