Basics for Special Event Production • PRE-EVENT - Plan/Build - Design - Gather materials - Plan for production/construction - Build and storage - PR - Press release (local, college, hometown) - Use of Internet, Facebook, etc. to get RFP out, also to publicize event - Class visits (for submissions/just before event) - Street theater to get attention - Documentation - Logistics planning - How is art to be collected, logged in, stored? - Equipment/supplies for event - Transportation/Carrying stuff - Plan for the space - Run through or test run if needed "Crossing the Street" - Fall 2007
Basics for Special Event Production • DAY OF EVENT - All coordinators check in, all roles assigned, plan in place - Set-up - Materials in place - Set up done as planned - Double check all electronics - Coordinators have needed phone #s for anticipated needs - At the space - Get attention – be creatively aggressive - Signage – show/class clearly labeled - Collect names/email addresses (promotion as incentive) - Document the event - Clean up and repair "Crossing the Street" - Fall 2007
