Site Test CoordinatorsResponsibilities prior to test administration…. • Attends district training for school site coordinators • Read the responsibilities and procedures in the “District and Test Site Coordinator’s Manual” • Train all examiners, proctors & scribes at school site assisting with CAHSEE administration • Sends signed Test Security Agreement and Affidavits to district coordinator prior to material pick-up • Inform parents, students and teachers about testing schedule • Inform teachers regarding their students’ attendance at the testing session
And more…. • Contacts district test coordinator immediately with any concerns and questions related to testing, security breaches, etc. • Collect signed Test Security Affidavits from anyone having access to test materials (i.e. custodians, clerical support) • Organize, implement and supervise all activities to conduct testing at the school site • Pick-up materials from District Test Coordinator on designated date • Check sequence numbers of site shipment on boxes (i.e. 1 of 10) • Inventory all materials within 24-hours of receipt and inform of discrepancies • Use Test Site Security Tracking Form

Per CDE – AB2 signed 07/28/09 • CAHSEE Change to California Education Code for students with Disabilities • Beginning with the Class of 2010 eligible students would be exempt from passing the CAHSEE exam • DISTRICT’S DIRECTIONS • Students who have an individualized education program (IEP) or Section 50r Plan will continue to take the CAHSEE exam.

Be prepared for emergency situations, restroom passes, etc. • Document testing incidents and potential test security breaches • If applicable, complete Test Administration Incident Report Form and/or Test Security Breach Report Form • Ensure compliance with all test administration procedures • Administration Reminders • No scratch paper allowed – students can work out problems in test booklet • All responses must be recorded with a No. 2 pencil • Give pre-id’d answer document to correct students; verify name and birthdate if duplicate names • One answer document per student
Test Security • Only those employees who are directly involved in the administration of the test shall have access to the test materials. • Materials must be picked up on day of test administration and returned upon completion of the exam (same day). • Must be kept in a secure, locked storage area at all times when they are not in use. • Must be protected from loss, theft, or reproduction in any medium. • All test booklets are bar-coded and assigned to sites • Anyone with access to test materials must have a signed Test Security Affidavit on file with the District Testing Coordinator prior to test administration.
Test Security continued • Arrangement of testing locations • Effort should be made to have students facing the same direction and spaced at least four feet from center of desk. • Educational posters/literature in the room that may assist students in the test should be covered up or taken down before the CAHSEE administration. • All responses to be recorded with no. 2 pencil.
Exam Content • Day 1: English-Language Arts (ELA) • 79 multiple choice questions and 1 essay question matched to the California ELA academic content standards. • The ELA examination will be administered on Tuesday in two separate sessions (Session 1 and 2) contained in the same booklet. Students must complete session 1 before moving on to Session 2. No student within an exam location can be read the instructions for or begin Session 2 if any student is still working on Session 1. • Day 2: Mathematics • 92 multiple-choice questions matched to the California mathematics academic content standards. • The Math examination will be administered on Wednesday in two separate sessions (Session 1 and 2) contained in the same booklet; session 2 is sealed to keep students from working ahead. Students must complete Session 1 before moving on to Session 2. No student within an exam location can be read the instructions for or begin Session 2 if any student is still working on Session 1.
Answer documents – (p. 30-33) • Only one answer document per student is to be used. Be sure that the pre-identified document is for the correct student. • Only the student whose name is printed on a Pre-ID document can use it. • Check students answer documents while monitoring to ensure they have signed their booklet, answer document, bubbled in test book serial number and version, etc. • All responses to be recorded with no. 2 pencil • A scribe must transcribe answers, including the essay, onto a regular answer document for students who use large-print or Braille booklets. • ONLY the district or test site coordinator may produce an enlarge version of the answer document by photocopying it if required for a student.

Again, No scratch paper – students may use the white space in their test books or the designated areas in the answer document. • Students are not allowed to use calculators, except if it is noted on their IEP. • Nothing on desks during the test administration, including food or drink. • Students should not have cell phones out at any time during the test or listen to music. • Students should not have cell phones out at any time during the test or listen to music. • Student’s Backpacks, etc. - All backpacks and/or bags of any sort shall be placed in the front of the classroom. • Per CDE - Students are to sit quietly with nothing on their desk once they have completed the test if any student is still being tested and/or if all test materials have not been collected and secured.
Test Examiners/Proctors responsibilities - • Review and become familiar with testing procedures prior to testing. • Review and follow all test security procedures. • Follow test administration instructions. • Read the scripts word-for-word. May clarify directions for any student. • Verify the identity of the students through the use of photo-identification or positive recognition by an employee of the district. • Actively monitor students to be sure they are on the right section, on task and marking answer document correctly. • .
Examiners/Proctors - check answer documents and test booklets for student’s signature and complete version/serial number of test while monitoring to assure correct student and test. • Test examiners and proctors can not answer questions related to clarifying test subject matter. • Prior to the test, examiners should reiterate the importance of the test, it is an “untimed” test, etc. • If the student wishes to keep working, the test examiner must allow the student to do so and arrange for the student to be escorted to a different room. • Students absent for Session 1 of ELA cannot go back and take Session 2 (same for math).
Grade 12 students, including those who are 5th and 6th year seniors, are eligible to take the CAHSEE 5 times during the year • Adult students are eligible to take the CAHSEE three (3) times during the year • Grade 11 students are eligible to take the CAHSEE twice during the year (November and March) • Grade 10 students are eligible to take the CAHSEE once – March census administration.

CAHSEE, STAR and PFT • CAHSEE November administration – • All materials (scorable and non-scorable) to be returned NO LATER then 4:00 p.m. on Thursday, October 3 • Training for STAR, EAP and PFT tentatively scheduled for 1st Week in February • STAR, CMA, CAPA, STS and EAP Test Materials Order for each School Site must be received by District Test Coordinator no later than Wednesday, November 13, 2013 if needed. • PFT Test Window – For 2013-14 will conclude on 03/30/2014 • ALL Physical Education Department members must be trained and every grade 9 student tested • District Coordinator will provide list of important dates for ordering and returning of ALL tests by October 25, 2013
