Purpose • To hire a temporary University of Chicago employee • An assignment up to 120 days, 6 months or 12 months (depending on classification) • Non benefits eligible • Max hours of 1000 • Temp hours do not “reset” on anniversary date • Separate process for temp pool
Completing the Form • Spelling of name is critical since full SSN is not provided • Form must be complete to be processed • If info on temp form is missing or incomplete, Employment will return the form to the department for corrections • Review page 3 for job classification and rate • If hourly job classification, rate must be hourly; if classification is monthly, provide monthly rate • Pay rate must be within range specified on page 3 • Include accurate UChicago time approver information • Email completed temporary employment form to: recruitment@uchicago.edu
Approval Process • Department must receive approval from HR Recruitment for temporary employee prior to first day of work • Hard copy form should not be sent • Employment will respond to email request • If approved, will detail additional forms needed and if higher fringe rate applies • Once form is approved, Recruitment will send the form to Records for processing. New hire paperwork (originals) should be sent to Records
Basics • Recruitment monitors hours worked and will notify department at 500, 800 and 925 hours worked • Records will end assignment based on notification from Recruitment • When a temporary employee exhausts 12 mo./ 1000 hours, cannot work in a temporary position for at least 12 months • Options for keeping your temporary worker employed • PT, non benefits eligible role • FT role • Third Party employer
Basics • If employee works over 1000 hours within 12 months, University is required to contribute to the retirement plan for the employee and department will be assessed the higher fringe rate • If temp employee was previously benefits eligible, department will be charged the higher fringe rate (28.2% for FY13) • Fringe for standard temp is 7.8% for FY13
