  1. St. Michael’s Laundry Annual Computer “Rolls” for Student Laundry Customers & Annual Incoming Freshman Laundry Enrollment Processes

Mid-May • Contract charge amounts should have been decided by early March (for budget) Linda Krohl @ 1-9135 needs to be notified. • Note: if the charge amount changed from previous year, remember to change the amounts in the academic term master! • Confirm that the wording of the contract remains the same (documentation to change wording is in incoming freshman file). • One -two weeks prior to running the employee roll, contract roll and freshman mailing, create a high priority clarify case asking if there is room in the “laundb data sets” for the following: • 13-14,000 new entries in contract detail * (CONTRACT-DTL) • 2000 new entries in customer master file * (CUST-MST) • 2000 new entries in stud-data detail * (STUD-DATA-DTL) - Add that these are new entries for the new academic year. • Set beginning seed number for incoming freshman (using parameter file maintenance screen) prior to running the freshman mailing program. • Run the contract rollover job. Hold on to the standard list showing a good ”end of job” (cannot run Freshman Roll if it does not). • Order mailing envelopes - we will need approx. 8,000 on hand. • Order laundry bags - check for a supply of 5,000 laundry bags. • Update web site with new membership prices and service information.

June 1-15 • Call printer and order 2,000 freshman brochures, 5,500 upperclassmen letters, 2,000 reminder postcards and 2 information posters (update all pricing and service information on drafts first). The service should include label placement, wafer seals and mailing. • Call or e-mail Stephanie Monhaut (1-6051) for freshman and upperclassmen labels (in Excel file form) for forwarding to printer for mailing. Mailing should be ready to go by the end of June. • Run the Freshman Mailing program. *NOTE: NO ONE CAN BE ON THE SYSTEM WHEN THIS PROGRAM RUNS (it will end in a terminated state!). Use the admissions term (SRN term) i.e., 2010 - this is a 4 digit #: century, year & term (term=1 for fall, versus actual academic year - i.e., 2004/05 = 2041 – 2 is the century, 04 is the incoming year and 1 is the term). Use the academic year when prompted for laundry term (i.e., 2004/05 = term 2005. Use 10/1 of the previous year as 1st confirm date; use 7/1 as 2nd confirm date; use 8/1 as 3rd confirm date (last confirm date). *NOTE: enter start time (use 21:00 hrs. = 9:00 p.m.) • Call Operations (1-7966) and cancel all print jobs associated with the roll (sterling labels, 3 up labels and contract cards). • Run Employee Seed Rollover. Run near the last week in June. Use laundry date term i.e., 2004/05 would be 2004 (prior to July 1) and 2005 (after July 1)

  4. July (end of 1st week) • Run Employee Seed Rollover Again - run near the last week in June and again the first week in July. Use laundry date term date as described above. • Contact Food Services (Jim Yarbrough wyarbrou@nd.edu) and verify our attendance at the Info. Fair. Inform team members (via mail) and start gathering supplies – August 19 - 21. • Decide whether or not the Dist. Ctr. will be open to distribute bags while a team is at the DeBartolo Info. Fair. Print posters with directions (update web site with this info. as well. • Contact Anita (1-8141) to confirm our attendance at the DeBartolo Information Fair. Contact team members and start gathering supplies. • Start making laundry bags for confirmed membership requests. • Get RA list and enter contracts. Student Accounts wants these charges as soon as possible (charge 1st semester only – cannot charge full year). • Enter upperclassman contracts. • Send rector letters and include copy of freshman letter, pickup schedule and information letter (this should also go to various departments, i.e., student affairs, residence life, etc.). • Run Freshman Mailing Program again (to get any late admits) and send mailing.

  5. August • One week before school - get RA labels. Call Student Affairs - (Joan 1-5550). • Run blank contract cards in case students want to sign membership at Dist. Ctr. September • Set up Academic Term Master for next semester.

Sample letter sent each year to all Resident Assistants August 15, 2005 Dear Resident Assistant: St. Michael's Laundry has received your name from the department of Student Affairs as a resident assistant to receive a VIP + Gold laundry club enrollment at no charge to you. A fee of $360.00 will be charged to your student account, ($188.00 PER SEMESTER allotment for laundry and $15.00 PER SEMESTER delivery fee) but your student account will receive a credit back by the Financial Aid Department at the time of the second billing in each semester. The financial aid department will NOT be responsible for any amount of usage in excess of $188.00. Any unused balance will not roll over to the following semester and no credit will be issued. The laundry allotment set up is for you to use for any laundry/ dry cleaning / tailoring or bundle services. Delivery back to your residence hall is included. If you have any questions regarding billing, please contact the Financial Aid Department at 631-6436.

Listed are the most frequently asked questions that we must refer back to you due to the individuality of each residence hall. • Where is the dirty bundle drop off, clean bundle pick up point in my residence hall? • In answering this question - please keep in mind that it remains important to keep your (rector/asst. rector) bundle drop off point different from that of the students It is our understanding that the dirty bundle drop off points have normally been pre-determined by an administrator of the residence hall and seldom vary from year to year. • Will the laundry deliver back my dry cleaning? • Unlike rector/asst. rector dry cleaning - we are unable to deliver students= dry cleaning back to the residence hall - each student will need to drop off and pick up their dry cleaning and over the counter laundry at the laundry distribution center on campus. • Where is the laundry distribution center located? • The laundry distribution center, which is open Mon.-Fri. 7:00 a.m.  7:00 p.m., is located on the corner of Holy Cross Drive and Sorin Court (between the Health Center building and Lewis Hall). Enclosed is a 2005/06 laundry pick up schedule and informational poster which will be placed in your residence hall. Please take a moment to look over the posters.
