  2. REPORT TYPES  INTERIM ACTIVITY REPORT PERIODIC ACTIVITY REPORTS DELIVERABLES PERIODIC REVIEWS FINAL REPORTS OTHER DATA REFERENCES REPORT DEADLINES Reports must be submitted simultaneously, electronically and by registered mail(with acknowledgement of receipt)

  3. INTERIM ACTIVITY REPORT …to inform regularly the EC on the progress of the work • They may be required at eg. 2,3 or 6 months intervals, if specified in the contract (Annex 1) • Example of an INTERIM REPORT: • 0. Front page • 1. Summary overview of the objectives and achievements • 2. Workpackage activities progress • 3. Consortium management • 4. Plan for dissemination and use of the knowledge • 5. Other information (if needed)

  4. PERIODIC ACTIVITY REPORTS …required by the EC at the end of each reporting period • Activity report: Publishable summary, details about objectives, activities, milestones, deliverables, actual progress. • + Other data - Ethical, Calls, SME Coop./Coll. RTD info • + Annex’es – Plan for using and disseminating the knowledge ! • Management report: justification*) of costs & resources, financial statements (form C) by contractor, summary financial report, resource and cost tables • Funding distribution report • Draft planning for next 18 months(only IPs and NoEs) *) FP6 Contract - II.19 - Eligible Costs of the project must be: a) actual, economic and necessary for the implementation of the project b) determined in accordance with the usual accounting principles of the contract

Annex’es, Deliverables & Supplementary Reports Annex’es to the periodic reports – only after 1st period: • Interim science & society report (coord. only) • Interim gender action plan report(only IPs and NoEs – all ct’s) • Interim workforce statistics report (not IPs and NoEs – all ct’s) • Interim socio-economic report (all ct’s) • Supplementary periodic reports • Deliverables … as specified in Annex I to the contract • ALL must be submittedelectronically and on paper(unless • otherwise specified) • Their approval is part of the periodic reviews of projects • Paper + e-copy: Report, Publ. rep., PUDK, Publ. PUDK

PERIODIC REVIEWS …carried out by the EC at the end of reporting periods Reports and deliverables are their basis, but additional “hearing and/or review information” could be requested Main aspects assessed: • the degree of fulfilment of the project work plan • the degree of fulfilment of the deliverables • the necessity of the resources employed • the management aspects of the project • the likelihood to achieve the results • the planning of the next period (18 months for IPs and NoEs) • the plan for using and disseminating the knowledge Formats for the review report & indicators are in process!

FINAL REPORTS 1/2 …cumulating and summarising the overall project activities Publishable Final Activity Report: main aspects, objectives, results and conclusions in a publishable form Final Plan for Using & Disseminating of Knowledge:publishable results, results’ exploitation and use potential (per result), innovation activities and report on engaging with the public (per contractor) Final Management Report: summary of the accepted costs of all the contractors for the entire duration of the project (format= periodic) Final Funding Distribution Report summary of the funding distributed to each contractor over the entire duration of the project.

  8. FINAL REPORTS 2/2 …cumulating and summarising the overall project activities • Final science & society report • Final gender action plan report(only IPs and NoEs) • Final workforce statistics report (not IPs and NoEs) • Final socio-economic report • Supplementary final reports as required by annex I

  9. OTHER DATA …if required According to Article II.3.1.d of the contract: “The consortium shall provide all detailed data requested by the Commission for the purposes of the proper administration of this project”
