  3. Introduction to UKDA • Established in 1967 • Acquires, preserves and disseminates social science and humanities datasets • Active contributor to international developments in social science data archiving

  4. Introduction to TNA • Formed as an amalgamation of the Public Record Office and the Historical Manuscripts Commission • Digital Preservation Department founded in 2001

  5. Project Overview • Map the current preservation systems of the two organisations against those in the OAIS Reference Model • Test the compliance with the OAIS model • Assess how the operational structure can be informed by OAIS (and vice versa) • Explore the potential for interaction between existing metadata standards and METS

  6. Methodology • No recommended methodology – developed our own • Tested compliance with OAIS mandatory requirements – mostly policy level • Collated relevant information from internal documents, procedural manuals, actual workflow and preservation management • Produced workflow diagrams and mappings to OAIS functional entities

  7. Methodology • Compared the OAIS Information Package descriptions and structures to objects preserved by the two institutions • Analysed METS and summarised its uses in different projects, and assessed its applicability to an archive of digital records

Outcomes • Project report detailing the mapping exercise and OAIS compliance testing • Recommendations for OAIS compliance testing for other organisations – practical experiences and suggestions • Recommendations relating to the model itself • Internal modifications or extensions to existing practices or procedures

  9. Recommendationsfor organisations • Encourage use of OAIS terminology • Do not undertake the exercise without plenty resources and support from senior management

Recommendations relating to the model 1 • Both organisations identified overlap between ingest and pre-ingest activities which needs to be considered in the context of the reference model • Consider an ‘OAIS Lite’ • There needs to be further consideration of the relationship between AIPs and DIPs within the model

  11. Recommendations relating to the model 2 • There may be benefits in providing a guide, manual or self-testing tool kit for mapping functions to the model. • Need to place more emphasis on a ‘standards watch’ as well as technology watch.

  12. Modifications to existing practices • UKDA identified several areas where procedures have been or may need to be modified or extended • Rejected submissions • Possible extension of some procedures

  13. Next steps • Review RLG draft: ‘An Audit Checklist for the Certification of Trusted Digital Repositories’ • Consider certification as a trusted repository
