Concept of T. D. S. : TDS is a direct Tax which is being deducted from the Businessman, Salaried Employees and etc… at the time of receiving the money to reduce future Tax liability. Full form of the T.D.S. is Tax Deducted at Source. It is a part of Income Tax, since we are taking exemption of the Tax already paid from our gross Tax liability under Income Tax . This T.D.S. is getting deducted from whom we are hiring services only, this is not being calculated on the Sales or Purchases amounts like as MVAT. Because of this government got revenue in rolling, more assesses comes under Income Tax, problem of keeping track of tax payees reduced so it is introduce and treated as a separate law under Income Tax.
Flow & Steps of T.D.S. : • T.D.S. working gets over only in the below six steps as :- • Defining deductor :- Assessee who is deducting tax • Defining Payee :- Assessee who is paying tax • Entering Transaction :- Booking of TDS at the time of booking of • Invoice or Paying amount. 8/27/2014
Flow & Steps of T. D. S. Continue…… : . • Paying Tax to Govt :- Pay deducted tax from payees to the govt. on or • before due date 7th of next subsequent month • if you are late by one day also then it will charge • interest @ 1% on the tax amount for the full • month. • Quarterly Returns :- This is a summary format in which deductor has • to give summary of tax deducted and deposited • with government. • Issue of Certificate : - At the end of financial year issue certificates to • tax payees known as T.D.S. Certificate
Features of T.D.S. : . • Secure, protected by passwords, • unauthorized access to system is not • permitted • Multiple companies databases may be • maintained for multiple companies • who may be having sister companies. • You may keep separate copies of the • product on network with all using single • license purchased from SCSPL. • You may update the product with latest • version in about 10-12 minutes, The new • versions may be because of due to tax law changes, new formats of various forms • and new features incorporated in TDSExpress Software. • We strongly recommend you to update the database structure using the link (Click • Here to Update TDSExpress Database) provided on the Login screen to prevent • any conflicts while using the software.
Group Creation • For Creating a New Assessee you have to create a Group First as : • Click on Miscellaneous • Go to TDSExpress Home Screen • Click on New at Bottom • It will give you option with predefined groups • If you want to create new group then click on new • provided at right side of the first option • Give Groups Details in the said screen • System will give you screen with details of pre • define group • Click on New at bottom • On this screen enter all necessary information. • If you want to protect this group by password to • avoid unauthorized use you can do so.
Assessee Creation : • Defining Deductor ( Assessee ) :- This is a first step of the software • -> Miscellaneous • -> TDSExpress Home • -> New • -> Type Group Name • -> Enter Address • -> Save -> Close • -> Assessee Name • -> Click on Open • -> Enter all static information • -> Red fields are compulsory • -> TAN & PAN number is must, without • this your returns will not validate • -> If you want to deduct TDS from Salary • then you have to tick on Employer
Salary Structure Entry : • This is a screen which is given to enter • your organization's Salary Structure • -> Additions : list the name of • components getting added in Salary • -> Deductions : Statutory deductions • already mentioned • -> Allowance Exempt U/S 10 : You have • to mention allowances exempt for • Taxation purpose here. • -> Column 1 : Tick only on which HRA is • getting calculated • -> Column 2 : Tick only those addition • which are going for annual estimation • -> Column 3 : Tick only allowances which • are becoming exempted U/S 10.
Payee Creation • This is the Second Step of TDS Software to define payee • -> Data Entry • -> It will list you different types of payees • -> Click on any type of payee • -> Next screen will appear • -> Enter his PAN number • -> If no PAN number TDS will be deducted at higher • rate • -> Give his name • -> Enter Status as per income tax • -> Enter his address • -> Tick if you want to calculate Surcharge seperate
Transaction Entry in T.D.S. • This is the third step of TDS software to enter transaction : • -> Go to Data Entry • -> TDS Entry • -> Select Payee • -> Click on Add at bottom • -> Click on Add on above line • -> Enter transaction • -> Enter more transactions of the same • payee if there • -> After entry finishes click on save at • bottom • -> It will display month wise total on top • portion
T. D. S. Payment of Government : • This is a forth step of TDS software, to pay deducted Tax to Government. • -> Click on TDS Challan with payment • -> Select quarter first • -> Select month • -> Select type of payee • -> Click on “B” If part payment • -> Enter 5 Digit CIN Number • -> Enter cheque no & date of cheque • -> Enter date of payment • -> Enter name & branch of bank in which • you are depositing the payment • -> Enter name of drawer's bank • -> If payment late than due date click on • interest to add in payment • -> Click on save this entry
Challan printing / Online Payment : • If you want to print challan against the payment made. • -> Click print • -> It will display challan duly • filled with all information • -> Click on left hand bottom • print to take print out • -> Click on online payment if • you want to do • -> E-Payment page will appear • -> Retype code given • -> Click on proceed • -> It will take you to bank page • -> Give login_id & password • -> Validate Transaction • -> You will get UTN Number
T.D.S. Certificate Preparation : • Certificate preparation is the last step of the T.D.S. software but this is the third step of Data Entry Option. • -> Click on Prepare Certificate • -> Option will appear • -> Select type of category • -> Select name of payee • -> It will display all the transactions done • -> Select periodicity to prepare certificate • -> Automatic certificate no will generate • -> Give certificate furnishing date • -> Click on green aero to convert entry into • T.D.S. Certificate • -> Red aero is given to convert certificate • into entry
Payee/Buyer-Employee • In the proceeding screens we have shown the processing of Salary TDS based on the annual entries. • Software caters to monthly TDS processing; this is selectable from the Add/Edit Screen while defining TDS Taxpayer. • Details of employee's need to be defined through above screen. • All relevant Master Information with respect to employee will be captured here.
Salary Data Entry : • This is a part of Transaction Entry only • but this is for Salary • -> Click on Employee in data entry • -> You will get this screen • -> Enter Salary addition details • -> Enter Salary deduction details • -> Enter exemption details • -> Click on save • -> Income Tax Computation will activate • -> Click on that • -> Take you to Income Tax • -> It will post salary to respective heads • -> It will show Tax Liability • -> From next month cut accordingly
Annual Salary Information • Salary Annual Screen will prompt the user to select the employee, various additions he has received from the employer along with various deductions such as Professional Tax, Provident fund, TDS and any insurance deductions. • Separate portion here permits the user to enter any allowances, which the employee has received which are exempt u/s 10. • Further, the software allows any other items, which are in lieu of Salary or Wages. • Upon saving, the user may go for Income Tax Computation. Here, other details of Income, deductions and exemptions may be entered. Thus, providing the user with facility to process the Income Tax working for the employee.
Income Details of Employee • Select the Data Entry->Salary-> Income Tax Computation (Image 1) option to get the above screen. (Image 2) • This screen enables you to enter income in any selected chapter along with provisions therein of that chapter. • You may click on any chapter and the desired chapter would come up for capturing income details of specified chapter. • Upon exit from any chapter, total income along with taxes along with interest (if applicable) would be computed and displayed. • You may print computation sheet and return of income from here, both options of printing that is, windows graphical print and conventional and fast dot matrix printing options are supported for computation sheet and return of income .
Monthly TDS Payment • This Screen is used to demonstrate a single payment for multiple Employees. • We would click on all such entries, which need to be included on this payment. • We are required to enter the Challan number, cheque number, date and bank where drawn and deposited. • Interest, may be computed optionally upon ticking ‘Include Interest’, interest based on due date of payment and date on which amount is paid is self-computed. • Upon going into the Challan Payments option, all previous payments are displayed. • You may print the Challan from here, requires click on Challan and print. You may edit/delete any previously entered Challan. .
Annual TDS Payment • Through the Data Entry-Salary-Annual TDS Payment would bring the user to above screen. • All employees where TDS has been deducted would be displayed. • Upon clicking on employee and entry for month-wise TDS deductions and payments are facilitated. • Upon clicking on Make Payment, total TDS deduction made for the month for all employees are displayed. • After providing the other details such as cheque number, date of payments etc., Challans may also be printed in the • prescribed formats. .

TDS Snap shot . • This screen shows you section wise summary of Amount paid, TDS deducted, Balance, TDS paid etc. • You can also define new Payee by clicking on New Payee button. You can also change the information of predefine • payee by clicking on Edit Payee button. you can prepare form 16A by clicking on Prepare 16A button.

Reports Screen in TDS Software : • : Reports : • Coverage of TDS Certificates as 16A & 16 • 16A you can prepare for entry wise, monthly, • quarterly, half yearly, annually • Quarterly return coverage of 26, 26QA, 27E & • 24Q • Registers for TDS & TCS Deductions. • Registers for TDS & TCS Payment Status • Wide Coverage of Salary related reports like • 12BA, 10E, 12B etc. • 16A & 27D Certificate Register • Various other reports are covered like 27A, • 27B, 27F etc • Revised return process
Form 26Q ( Non Salary Return ) : Go to Reports -> Enter on Form 26Q -> This page will display with the information -> Select quarter number on this page -> Select type Regular -> Click on E-File -> Then another Screen Will Appear -> Keep by default location of the Form26Q.txt file as it is -> option given for non including of insufficient pan select as per your choice -> Option given to save text file at database Location also tick as per your choice -> Then click on Next -> You will get another screen
Form 26Q Continue…… : You will get summary page -> Display’s no of deduction records -> Number of payment records -> Total of amount distributed during the quarter -> Total amount of TDS deducted -> Total amount of TDS deposited -> Click on next -> Now you will get page from which you can print your acknowledgement as 27A -> If you made online payment then you can download file from this page in .CSI format -> You can validate your text file also from this page
Form 26Q Continue…… : For acknowledgement click on option 27A -> It will display details on the screen -> Click on print -> It will print acknowledgement on screen -> Click on left hand side print to print hard copy -> After printing click on close -> On bottom line you can see validation utility -> Click on Validation -> Validation utility will activate -> In the first option give location of text file -> In the second option give location of .CSI file if you have made online payment and stored that file on your PC after downloading from NSDL Site -> In third option give location to store file generated after validation or if any error then error file storing location
Form 26Q Continue…… : After giving proper locations of files in your validation utility screen will look like as next screen -> Click on Validate to validate file -> After successful validation is over -> If any errors you will get message as error found in validation -> Check out errors -> Clears that errors -> Re do the same procedure again -> Till you get message as file validation is successful -> After validation system creates one main files as Form 26Q.fvu at the location -> Write this file on CD along with hard copy of Form 27A -> Submit this things to NSDL Center
Printing of Form 16A : Reports -> Click on Form 16A -> Select type of payee -> Select name of payee -> It will display list of certificates generated -> Select certificate number -> Click on acknowledgement to enter it quarter wise at bottom -> Enter Acknowledgement number & CIT details in the provided screen -> Click on save & then close -> Click on Print -> This will print Form 16A as TDS certificate against the payee selected -> Screen shot for the same is shown on the next slide
Print of Form 16A : This is a print out of Form No 16A you have to issue it to payee’s as a proof of TDS deducted and Deposited with Government
Form 24Q ( Salary Return ) : This report printing is same as for Non Salary return Form 26Q. Only this is the first screen which is different, and you have to select options on this screen. To reach this screen -> Reports -> Salary -> Form 24Q -> Remaining procedure is same
Form 16 Print Procedure : To Print Form 16 against Salary TDS Certificate -> Reports -> Salary -> Form 16 -> This screen will appear -> Select name of employee to print Form 16 -> Click on acknowledgement to enter acknowledgement number as for non salary procedure. -> Click on OK -> This will print form 16 on estimation basis -> printout of the same is shown on the next screen
Form 16 Print Format : This is a Sample print of Form 16 -> To print this as hard copy -> Click on the print on left had side bottom.
Miscellaneous • The above Slide shows Import Data and Export Data option from Miscellaneous.
