User Trials - Purpose The purpose of User Trials is: • To allow Users to undertake business process activities introduced by Modification 0195AV and which are to be delivered in the new NTS Exit Reform system (replacing the 2009 interim process). This will allow users to gain a greater understanding of the steps required to manage their capacity profiles. • To allow Users the opportunity to familiarise themselves with the new NTS Exit Reform system. • To allow Users the opportunity to highlight any potential faults found prior to the system implementation. • To provide xoserve with further assurance that external connection to the solution works as expected and previously tested.
User Trials - Training The new NTS Exit Reform system is based on the existing Gemini system, in particular the Entry Capacity processes, which Users will already be familiar with. Users will also have completed the new Exit processes as part of the 2009 Off-line process. Hence it is believed that ‘refresher’ training will be sufficient. The planned Training is to cover the processes that will be executed as part of the User Trials and is expected to take place w/c 22nd March 2010. Three options have been identified with regards to the delivery method: a) Classroom based training (at 31 Homer Road, Solihull or other agreed location). b) Remote training (via Live Meeting). c) Self study The Training materials will be developed in response to the chosen option. It has been recognised that some users will be new to the Gemini system. Therefore a familiarisation presentation will be made available. This gives an introduction to the layout of the system, menus etc. Q. Is there a preference as to how the Training will be delivered?
User Trials – Connectivity Testing User Trials will be executed in a dedicated environment that will mirror the production system. In order to access this environment each participant will need to be granted access. It is envisaged that participants will execute User Trials from their workplace therefore Connectivity Testing is planned to ensure there are no issues accessing the environment ahead of User Trials commencing. Part A Scheduled for w/c 15th March 2010. Participants are expected to log on via Citrix. A Set up document will be provided that details instructions on how to do this. If successful, each participant will be able to reach a screen displaying the Gemini icon. Part B Scheduled for w/c 29th March 2010. Participants are expected to log on via Citrix and then access the system. The Set up document also details instructions on how to do this. If successful, each participant will be able to log on via Citrix, click on the Gemini icon, reach the Gemini log on screen where they then enter their unique username and password. This will take the user to a screen with two options – one to enter the current Gemini system and one to enter the new NTS Exit Reform system. By selecting the NTS Exit Reform option they will be able to enter the new system. Please note during User Trials the Gemini database will not be accessible.
User Trials - Data The User Trials environment will be refreshed with production data. In addition to this the data from the NTS Exit 2009 Offline process will be migrated into the environment. The data to be loaded by Users as part of User Trials will be provided by xoserve and provided to each user along with the associated expected results.
User Trials – Execution The execution of User Trials is scheduled for w/c 5th April 2010 (please note the 5th April is a Bank Holiday). High level schedule: Based on the above schedule User activities are planned for Days 1, 3, 5 and 8. Any changes that are necessary to the schedule will be communicated. The system will be available for the duration of User Trials, however, we request that data is only input as per the schedule.
User Trials – Execution In advance of this each participant will be provided with the following: a) User Trials Guidelines b) User Trials Schedule c) User Trials Scenarios d) User Trials Instructions Due to the limited time available we recommend that activities are executed in the morning. This will ensure maximum time is made available and should anyone experience any difficulties there will be more time available to resolve these. During User Trials the project team will provide technical and process support and will be in regular contact with participants.
User Trials - Communications Further teleconferences are planned so that all parties can be updated on progress. Monday 1st March 2010 – Progress t-con Monday 15th March 2010 – Progress t-con Monday 29th March 2010 – User Trials Kick off t-con In addition to the above a short t-con will be arranged for each day during the execution of User Trials. This is expected to start at 9.30am and should last approximately 15 minutes. Outside of these if you have any questions these can be emailed to the box account: xoserve.ntsexitreform@xoserve.com Alternatively you can contact a member of the project team: Andy Simpson 0121 623 2655 Hannah Reddy 0121 623 2652
User Trials – Next Steps • Users are requested to: • Provide preference as to Training delivery method. • Provide confirmation as to who will be participating in the User Trials and so executing the user activities. • Provide User Details in order to be provided with access to the User Trials environment • Where the user already has access to Gemini we will use this as a template for creating your account within the User Trials environment therefore please provide your Gemini User ID. • Where the user does not already have access to Gemini we can use a colleagues account as a template for creating your account within the User Trials environment therefore please provide the User ID for a colleague who does have access to Gemini. • If the user or a colleague does not already have access to Gemini then in order to create your account you need to provide your name, organisation and Shipper Short Code.
