General outline of SDN directory management Cooperation NODC <=> national partners: • NODC chooses (if needed) a provided method of maintenance: XML files via MIKADO or other tool, or via CMS • Role NODC: => National focal point-coordinate the overall mngt activities • Providing assistance in metadata preparation • Collating new records • Quality control of new metadata descriptions • Distributing to portal in case of XML files • Contact with central directory managers • Role Institutes: => Support activities • Providing new entries • Complete the information • Update existing information.
Available tools to submit/create new and update existing records • Online maintenance by NODCs via Content Management System => EDMERP, EDMO, CSR • XML export from a partner to the pan-European directory • Mikado manual => EDMED, EDMERP, CSR (,EDIOS) • Mikado automatic for XML export from local system => Most relevant for CDI
Metadata Format • The ISO 19115 content model is the basis for the XML formats and related schema (XSD). • Use of codes from the Common Vocabularies • Use of organization codes from EDMO Vocabularies • Use of SeaDataNet common vocabularies for platform types, parameters, instruments etc. in all directories • Use of EDMO as organization vocabulary • EDMERP as „project vocabulary“ • All available as webservices to enable constant accessibility of latest version • SDN Vocab Service : http://seadatanet.maris2.nl/v_bodc_vocab/welcome.aspx/
Management of record identifiers All systems have to generate unique record identifiers • For the vocabularies uniqueness is very important for reference to correct terms. No changes of codes allowed. • For CDI records the local id is the communication link between portal and local system. Ordering system works on this. • For the other directories, when updated via Mikado-XML, the local identifier is important. It is the key for the central system to recognize updates of the same record. => Local systems have to take this into account and store local id‘s!

Management of EDMO Maintenance • Updating via CMS forms: http://seadatanet.maris2.nl/vu_organisations/welcome.asp • Access only for NODC‘s • New records only to be created via request from NODC to MARIS (governance is strict, because EDMO is vocabulary) • When national institute misses organisation in EDMO during work => request to NODC • Available as webservice (export only) for use in local systems and Mikado org org org org Question/request NODC Update Question/request Confirm CMS EDMO MARIS Add new

Practice EDMO Use of EDMO CMS For NODC: • Webpage: http://seadatanet.maris2.nl/vu_organisations/pwelcome.asp • Check the list of marine institutes from your country: • If records not complete (Location, URL, etc!) => add information • If you find some institutes not listed in EDMO => Request new record to be added (MARIS) For other partners: • Go to current EDMO collection of your country via: http://www.seadatanet.org/Metadata/EDMO • Look up details of organisations (your own and others) and if needed request edit of the EDMO record at NODC
