SLIDES UDR Key things to remember • Grab data from most significant to least significant • Watch your grouping • Concatenate fields to save space • Order of filters does make a difference • Filters can be made optional • Sometimes CSV files work better than straight export to Excel
SLIDES UDR What maters most? • Determine what is driving the report and pick that data model first • Add other relevant information next
SLIDES UDR Watch your grouping • Double click on data model name to create a model level group • Trick: to have multiple groupings, you must first create a divide: • dragging one field to the far left (which will put that field in it’s own group) • grab the main group header and drag to left of new field • double click on next model name • Groupings can be used to create secondary sorts with in the report
SLIDES UDR Concatenate fields to save space • On reports where both code and description are wanted, concatenation will save report space and reduce report columns. • Example:
SLIDES UDR Order of filters does make a difference • Drag and order filters to match the significance of the data in the report • Use the Define formula option to share parameters between data models
SLIDES UDR Filters can be made optional • Select field to be filtered • Make it a prompted field (must be done first) • Choose the from – to filter option • Choose edit as formula • Change And to Or • Remove > sign on first half of formula • Remove field and <= from second half, leaving Parameter half • Add = EMPTY after Parameter on second half
SLIDES UDR Sometimes CSV files work better • When report grouping is used – blank values on grouped lines • Data with numbers (ie. Student IDs, Cost Centers) have leading zeros • Formatting creates to many additional columns • Remember: • Open Excel first • Use open file option within Excel • Set delimiter to comma • Set data field type to text for non-numerical data fields
