After the form is submitted, a workflow will send the form to the ATTENDEES list. If there are spouse/guest(s) or children, the workflow will create separate registrations for them in the ATTENDEES list. The ATTENDEES list has many of the same fields as the Registration forms… that’s way updates to Entities must be made in 2 places. Adding a SSM Entity in the Access Db The “Entity” table has no impact on any of the reports (except for the one titled “Entity” and “repEntity_Sorted_By_Number” You can use the Entity table to keep track of the entities if you like… however this information is maintained in SharePoint.
Adding a SSM Entity in the Access Db • Double click the “Entity” table. The table will open up • In the last row with the “*”, enter the entity name in the Entity column. • The ID column will auto-populate.
Adding a SSM Entity in the Access Db • NOTE: Unfortunately at this time I have not found a way to create a report that shows all entities and the number of registrations for each. • Access can only report on Entities that have registration, i.e., existing records in the DB. If there are no registrations for a specific entity, that entity will not show up on the report.
