SharePoint for I&M Networks I&M Data Management Meeting April 22, 2009
SharePoint : what is it? • -Microsoft Windows network product. Server-based (not workstation) • Web-based collaboration tool • easy for users to post content (unlike websites) • share documents; track versions; create surveys, discussion forums, wikis, calendars • fine-grained permissions for read, write, edit, delete, design • integrated with Active Directory – no anonymity • An extensive database front-end (ASP.net) to a SQL 2005 back-end • Office 2007 recommended but not required
Two flavors of SharePoint • WSS: Windows SharePoint Services 3.0 (free) • MOSS: Microsoft Office SharePoint Server (licensed server product)
“Site Collection” Search Site Title Top Link Bar Breadcrumb Site Actions menu Quick Launch Web Parts
site collection subsite subsite subsite subsite Document library Document library Document library Document library calendar calendar Document library calendar discussion surveys surveys discussion discussion wikis
Internet: public face Intranet: Internal to DOI / NPS SharePoint: Internal to workgroup: day-to-day business, collaboration, works in progress, discussions. SharePoint could take the place of network intranet sites???
Lessons Learned So Far… • A SharePoint site needs a manager • Keep to a consistent site design • Easy for sites to spiral out of control • Keep the Quick Launch pane lean • Keep naming and organization consistent in subsites • Expect organization to change as the site grows • Plan out the site organization: talk to users, figure out what they need
Ideas for Site Content • Protocol working documents • Field equipment checkout, vehicle reservations • Calendars: office, field, leave • Technical Committee or B of D sites (agendas, minutes) • Budget info • Surveys • Meeting agendas
