About OlaTech We create web based custom software applications for businesses.
Our proprietary software OlaTech began to work closely with a number of local Associations on their IT needs. This led to the development of our proprietary software in1touch. Today, it is a mature and robust platform product operating successfully in the competitive North American market.
Our History OlaTech has worked on application, business processes and website design for numerous clients in Winnipeg. Project Budget ranges: $5000.00 to $1,000,000.00
What is in1touch ? • A Web-based Association Management Solution. • Efficiently manages your member databases, member interactions, and numerous office processes. • An on-line, and on-demand, self-service resource. Minimal local infrastructure or maintenance is required as your data is typically held at a centralized server.
Why in1touch ? • An easy to use software which is both configurable and customizable. The software fits with your processes and evolves with your processes without costly add-ons or re-development.
A robust and stable platform well-suited to the complex needs of mid-sized or larger associations. You can expect close support at each of the crucial phases: needs analysis, configuration, customization, implementation and training.
MCC in the Clouds • In1touch is a component of Cloud Computing. • It’s software as a service (SaaS) and one which MCC was ready to adopt, they had been looking for over a year for a suitable and affordable solution.
MCC in the Clouds Implementation • Performed User Interviews and through Visual Observations conducted fact finding measures designed to ascertain their requirements. • Identified constraints and assumptions. • Identified business needs.
MCC in the Clouds Implementation • Evaluated how in1touch applied to the overall process and provided recommendations on how some of those processes needed to be modified.
The Data Structure Data is Processed by Configurable and Customizable Modules
MCC in the Clouds Smooth Implementation • Started system configuration • Configured the database • Created Users • Assigned roles and granted permissions, add, view, delete etc.
MCC in the Clouds Smooth Implementation Data Import • We examined MCC’s current data. • Cleaned up the information by making sure all data was consistent and formatted accordingly. • Every field in the database is a searchable field. • We asked questions about data inconsistencies.
Data Import • Focused on an implementation date and path and imported the live data into the system. • The system has the ability to do certain checks when importing, such as information that is mandatory and crucial to the integrity of the system. • MCC joined the Clouds.
Module Configuration • Membership Management • Billing & Transactions • Payment Gateway • Event Management • Email Communication • Surveys
MCC in the Clouds Membership Management • Created the Membership Model • Created Membership Groups • Created Invoice Templates • Setup Transaction Reports • Setup Payment Gateway
MCC in the Clouds Event Management • Configured Events, the Golf Tournament was the first event. • Many events have followed since.
MCC in the Clouds Email Communication • Created email templates. These serve to send out personalized emails and mail merges. • Rules for scheduled emails
MCC in the Clouds Surveys • Created survey templates • Survey Rules • Scheduled Surveys
MCC in the Clouds Challenges • Think outside the box. • Learning Curve • The self serve process was not completely mapped out. • Internal, user side and external member side of the system.
MCC in the Clouds Challenges • Adequate Training • Appropriate involvement (people and timing) • Communication (expectations, issues) • Clearly defined roles
MCC in the Clouds Survival • Don’t let exceptions manage you, manage the exceptions instead. • Will to learn, the first time always takes longer. • Time spent learning the system provides rewards later. • Remember the system is web based, you can work from anywhere
MCC in the Clouds Full System Benefits • Member Training (direct members to the website) • Staff Training • Let the system do what is suppose to do, use the full system features, think now and not how it was.
MCC in the CloudsConclusion • The Self Serve Model arrived a long time ago and it’s not going away. • Don’t hesitate to train members... is the key to a successful self serve implementation, the more your members are able to do, the less you have to do. • Finally: take advantage of the system by creating new processes and eliminating workarounds. Don’t keep doing something because you have always done it that way, instead find and implement new solutions.
