  3. Agenda • Hiring • Leave • Performance Evaluations • Ethics Training

  4. Hiring • An individual comes to the Human Resources (HR) office and inquires about the status of her paycheck. • After a brief inquiry, HR finds out the individual has been working for a department for one month • HR has no knowledge of the person, including name, address, social security number, etc. • Can someone identify what is wrong with this scenario?

  5. Questions • Is the person legally authorized to work in the United States? • Is the person a risk to the University? • What happens if the individual is injured during the course of employment?

  6. HIRING • Fully execute the HIRING process before an employee starts working • Complete application packet and Personnel Action Notice on file IN the human resources office • Satisfactory completion of the background check • Completed new hire paperwork including the I-9, federal and state tax forms • E-verify - HR must electronically verify each employee’s legal authorization to work in the US within three days of the first day of employment

  7. Leave • HR learns that an employee has an illness and has not been at work for one month. • After learning of this information, HR makes an inquiry with the supervisor and confirms the information

  8. Questions • How is the employee’s time off from work being recorded? • Is the employee using the appropriate leave? • Has the employee completed a Family Medical Leave Act (FMLA) request and secured a physician’s certification indicating the amount of time needed away from work? • How do we know when an employee is cleared by a physician to return to work?

  9. Leave • FVSU policy requires employees to bring a physician’s statement when employees are sick for more than three (3 days) • If an employee is injured, ill, has a surgery scheduled, emergency surgery, etc.. and is going to be out for an extended period of time, notify the office of human resources.

  10. Performance Evaluations • Must be completed • annually (January 1 – December 31) • when an employee moves from a temporary position to a permanent position • after completion of the six month probation period • 3 different versions • Administrative (Vice Presidents, Associate Vice Presidents, Deans, Associate Deans, Department Chairs) • Faculty • Staff • Must be signed by employee and supervisor and any others indicated on the form

  11. Ethics Training • If you and/or your employees have not completed ethics training over the past year, please complete the training • Annual refresher training is coming in January 2013 • Yes, ALL are required to take again
