Evaluation Scheduling & Management (ESMS) ESMS is a term to describe the entire database, and to describe the basic functions of the site. ESMS can be broken into two smaller groups: Scheduling Management
This can be performed on the ESMS Home Page by the member, to request when his/her evaluation can take place, thereby scheduling it to take place on the calendar. • AND • This can be performed in a “scheduling” aspect on the Evaluator Dashboard via the Rosters. This will schedule personnel, equipment, and programs into a master schedule that will display what is due. Scheduling
Management • Management of the evaluations and write-ups is more hands-on. ESMS becomes a “living” site, where the evaluators and members will be actively addressing the write-ups and inputting data. • ESMS will also automate some processes, thus requiring minor input from the users. Some examples are: • Routing of evaluations and write-ups • Tasking notifications of write-ups • Providing only current and upcoming evaluations (via the Schedule & Match) • Statistics (ETAD, Leadership Dashboard, Evaluator Dashboard)
The interface that will be utilized the most by evaluators will be the Evaluator Dashboard. This is accessed by clicking on “ESMS BackGround” and then selecting “Evaluator Dashboard” from the side navigation. However, this is only possible after setting up permissions on the site. The Evaluator Dashboard will look similar to:
The Evaluator Dashboard allows evaluators to do the following: • ACROSS THE TOP: • Review evaluations initiated by “you” and ones requiring “your” signature • Review issues initiated by “you” and ones requiring “your” signature • ON THE LEFT: • In-process and out-process members to and from the unit • Access the Roster Dashboard for major updates to the Evaluation Schedule • Access the Evaluation Trend Analysis Database (ETAD) • Manage Permissions for ESMS • Create announcements regarding site updates • Perform most maintenance tasks for ESMS • Access all Functional User Guides • IN THE CENTER: • Review personalized calendar of upcoming evaluations and inspections the evaluator is assigned to • Minor adjustments to the Evaluation Schedule • Review all Evaluations due within the next 60 calendar days • Match requested evaluation dates to an evaluatee • Update information about an evaluatee • ON THE RIGHT: • Review the Evaluation Statistics (Unassigned, Overdue, etc.) • Generate and route evaluations using InfoPath 2010 • Task and route write-ups from evaluations
The QAR Dashboard mirrors the Evaluator Dashboard, but the following features have been REMOVED: • ON THE LEFT: • In-process and out-process members to and from the unit • Access the Roster Dashboard for major updates to the Evaluation Schedule • Access the Evaluation Trend Analysis Database (ETAD) • Manage Permissions for ESMS • Create announcements regarding site updates • Perform most maintenance tasks for ESMS • ON THE RIGHT: • Review the Evaluation Statistics (Unassigned, Overdue, etc.)
The ESMS Home Page is the most commonly used page by the unit members. It can be accessed directly from the links provided in the ESMS Navigation Menu Web Part.
The ESMS Home Page allows members of the unit to do the following: • ACROSS THE TOP: • Review announcements • ON THE LEFT: • Access their Personal Page • Access the Leadership Dashboard • Access the Continuity Library • Access the applicable Function User Guide • Review evaluations currently en route and open • Review NIC write-ups currently en route and open • IN THE CENTER: • Request an evaluation to occur on a specific date/time • Review when other evaluations are taking place • ON THE BOTTOM: • Review all previous evaluations conducted on their work center or flight (This feature is only available to training monitors, work center leadership, section leadership, and flight leadership.)
Personal Page The benefit of a Personal Page is that it allows any member, regardless of permissions, the ability to address any write-ups or evaluations assigned to that member, review status of programs and events, and look up when their next evaluation will be due.
The Personal Page is accessible for all members to review user specific information. • ACROSS THE TOP: • Review announcements • Review squadron level programs the individual is a monitor of • ON THE LEFT: • Access the ESMS Home Page • Access the Continuity Library • IN THE CENTER: • Review and take action on evaluations routed to him/her • Review and take action on write-ups tasked or routed to him/her • Review the status of a requested evaluation/inspection • ON THE RIGHT: • Look up next evaluation date
