Using Simple Logic to Build Forms Built for Students Jack Pence Wright State University
DISCLAIMER: This presentation is in no way the end all be all of building forms on Orgsync. This is just a presentation to help schools build forms using assist their students in event planning.
Orgsync History @ WSU Wright State has had Orgsync for 5 years. Orgsync to Register groups, submit forms, update rosters, Register Events. Slowly getting students to “Drink the Orgsync Kool Aid”.
University Policy All Student Organizations MUST register ALL events. • Events are reviewed by the Office of Student Activities. • Per University Insurance events are approved and denied Based on the type of event, it could or could not be covered by our insurance
Forms, Forms, Forms… Our office created Forms for just about EVERYTHING…. All asked the same basic/general questions, got the same basic answers.
The Orgsync epiphany What if forms could be more than just “forms” with the help of LOGIC…?
The Orgsync epiphany • Reviewed every student organization event that was registered . • Developed every possible type of event that Organizations can hold. • Created specific questions for each event.
The diversity of events gave an additional 60 questions to add to our event registration process…
The Form Paradigm Shift Our office has shifted: FORMS Information Gatherer A guide for students
Using Logic • Created basic “yes” and “no” questions to filter out information. • Added specific questions and pages according to the event. • Provide “file” links to departmental documents. • Built in notification to other campus departments to inform them of the event.
Using Logic Our office gets to asks the questions up front to aid the student in their event planning. • Their finances (Cost of event, where collected money goes, State/Federal Laws) • Food (University Catering, Outside vendors, Grill Safety, Health Regulations) • Alcohol Safety
The Form The Office of Student Activities Event Registration form: • 23 Pages • 84 questions *Average number of questions students answer: 32 This form encompasses the range of most simple to most complex type of events.
The Form Based on the answers of student’s: • Students don’t see questions that don’t pertain to their event. • Students only see specific questions about the type of event they are hosting. • Students are given policy and any extra documents that they need for their events.
The Form To Access the Form: • Students must create an event from their Organization Portal. • Students fill out he basic event information. • Students are prompted with The Event Registration form.
