CHART OF ACCOUNTS QUICK BOOKS INSTALLATION • Make sure you use the most current chart of accounts located at www.conservation.ky.gov open online services-click on forms library-open administrative documents-go to second page to see chart of accounts • YOU ONLY NEED TO INPUT THE CHART OF ACCOUNT S THAT YOUR DISTRICT IS PARTICIPATING IN. • FROM TIME TO TIME YOU MAY HAVE TO ENTER A NEW ONE IF DISTRICT PARTICIPATES IN A NEW PROGRAM. • IF YOUR DISTRICT IS PARTICIPATING IN AN ACTIVITY THAT IS NOT IDENTIFIED ON THE CURRENT CHART OF ACCOUNTS NOTIFY YOUR FIELD REP. AND WE WILL GET YOU AN OFFICIAL ACCOUNT FOR THAT PURPOSE.
From the Lists menu, choose Chart of Accounts (Lists menu is Located on your Top Tool Bar when you open Quickbooks Company Account)When the Chart of Accounts screen opens look at the bottom of page you should see tabs for Accounts, Activites, Reports, inactive. Choose Accounts.When you click on the Account menu button, choose New
Enter the account’s name in the Name Field (R10000-Fiscal Court) If it is the main category as R10000 Fiscal Court do not click in the sub account box for main accounts.Description box I usually identify for instance fiscal court fundsNote box I usually just skip itThen click Next (It will save that account and you are ready to input next account) it will default with the income type until you change it to another
SUB ACCOUNTS When you have put in the main account (R10000-Fiscal Court) you will now need to add sub accounts to more clearly identify the transaction. Basically the same steps as putting in the main account, from Lists menu choose Chart of Accounts, type (income or expense) Name Field (R10100-General Fund) click in the sub account of box, then choose the drop down box and then choose the account that the account is the sub account of (R10000-Fiscal Court), description general fund click next to save R10000-Fiscal Court R10100-General Fund

In the New Account window, choose the type of account (Income or Expense) from the Type drop-down list. • Enter the account’s name in the Name Field (R10000-Fiscal Court) If it is the main category as R10000 Fiscal Court do not click in the sub account box for main accounts.
Description box I usually identify for instance fiscal court funds • Note box I usually just skip it • Then click Next (It will save that account and you are ready to input next account) it will default with the income type until you change it to another • Remember to change type from the drop down box to expense when you begin to input your expense accounts.

QUICKEN CATEGORY INSTRUCTIONS • Top tool bar • Click on Tools • Scroll down to Category list and click • When page opens choose New • Name—R10000-Fiscal Court • Description—Fiscal Court • Group-skip • Type—Income/Expense • Click Sub-Category and click on arrow for drop down box and choose appropriate main category • OK
RECATORGIZING ACCOUNTS • Transactions will need to be re-categorized beginning 7/1/2011 – current date, in both quicken and quick books once you complete entering the chart of accounts. • This can be done from the check register page • Top Tool Box Choose Register • Highlight the transaction to be changed • Go to the Account/Category Part and click on the arrow a drop down box will open, then choose the appropriate account/category or sub-account/category from there. • Enter through the transaction to save changes.
