Desktop Applications for Taxonomy-Related Tasks: Harmonizing, Hierarchies, and Human Ingenuity Catherine Jervey (catherine.jervey@lexisnexis.com) Matthew Klein May 20, 2008
Why Use Desktop Applications? • One-time project may not justify a build • Frees up $ for other user enhancements • Allows project work to begin at once • Flexibility of desktop tools allows project team to customize workflow to suit skills • Microsoft Excel and Access suited to taxonomy-related tasks
LexisNexis Congressional Permanent Thesaurus Management System
LexisNexis Congressional Data Harmonization Project Objectives: • Harmonize controlled vocabulary indexing for CIS Index, CRS, CIS historical indexes, and re-indexed Serial Set • Meet user needs of academic market • Provide users with ability to retrieve targeted data results searching by subject • Deliver online hierarchy of terms based on entitlement
Features of tool needed to harmonize data • Speed • Ability to analyze data as a whole rather than term by term • Ability to sort and filter • Ability to easily recognize entitlements • Ability to continually revise data • Ability to deliver data in format suitable for export
Mitigate Risks of Data Loss or Corruption: • Save data frequently • Store previous versions • Work with IT to ensure data backup • Consider storing data in Access • Use comparison reports to check for a loss • Human review of certification data • Retention of old data in case replacement data is flawed
Data for Index Term Look-Up Tool: • Hierarchy based on existing relationships • Hierarchy modified to accommodate incompatible relationships • Eliminated “circular” relationships • Considered CIS Index indexing practices • Created hierarchy worksheets with 6 levels, including category
Index Term look-Up Tool Functionality • Eliminate need to scroll through long lists • Browse hierarchy • Browse alpha list • Search alpha list for all terms • Search issuing source separately • Search geographic separately • Paste to search
Updating Online Display Reasons for using desktop applications • Data still being revised and loaded • Entitlements still being validated • All original reasons still apply Risk mitigation: • Terms with entitlements stored in Access • Data delivered in Excel with entitlements
The Future… • New indexing projects • New modules with new data • Final clean-up when retrospective data is completely loaded • Return to permanent, conservative system • Create additional tools for thesaurus work, including automated tool to add terms to hierarchy
