  1. 2012-2013 Executive Board Elections • May 3rd (11 a.m., 26-304)

Election Requirements Members of the Executive Board must be… • Current PAID members of PRSSA • Students for the ENTIRE 2012-2013 academic school year • Able to attend all PRSSA related events • GPA of 2.5 or higher • Consistently present at PRSSA meetings, events and socials • Each member must have enthusiasm and passion for PRSSA!

  3. Election Procedure • Thursday, May 3(11 a.m., 26-304) • Submit intent to run to Kaleigh Teskey, kbteskey@gmail.com, by Monday, April 30th. Send email for the position(s) you plan to run for. • Prepare a 2-3 minute speech stating qualifications, plans for PRSSA, ideas, interest in position, etc. • Dress business casual!

  5. Election Procedure • A third party will count votes for each position. The winner will be announced before we proceed with the election. • “Off the floor" system will be implemented • If you do not win your first choice position, you will have the opportunity to run for another; a member must nominate you to run for the new position. • For instance, if Jane Doe runs for Secretary and loses, she can be nominated "off the floor" by John Doe to run for Treasurer. We will explain this more on the day of the election.

President • Supervises, delegates and leads the entire PRSSA chapter • Send members updates and meeting reminders • Coordinates and oversees Elections • Directs membership drives and recruitment • In constant contact with Advisor and E-Board • Creates agendas for all PRSSA related meetings • Coordinates charter and meeting schedule with VP and ASI

President Cont. • Serves as a liaison for the College of Liberal Arts, the Journalism Dept, and PRSSA Nationals • Organizes National Assembly and National Conference attendance • Helps coordinate outreach events • Supports the Communications Director by researching and compiling jobs and internships • Works with VP to keep Alumni informed • Writes and send thank you notes to speakers and hosts

Vice President • Contacts speakers for meetings and provides them with speaking points (main person of contact) • Coordinates parking passes for speakers with the Journalism Department • Solidifies quarterly meeting dates with chapter President and submits E-plans to ASI • Performs all duties of the Chapter President if the president is absent or unable to perform his or her duties • Keeps a file of contacts made throughout the year • Sends greeting email and all PRSSA newsletters to alumni • Keeps list of alumni who reach out to the chapter- “Alumni In Touch” • Actively participate in PRSSA’s social media.

Outreach Director • Organizes and promotes fall and spring membership drives and assists the Finance Director with membership when needed • Coordinates all recruitment events deemed necessary by the E-Board (WOW Club Showcase, Open House, etc.) • Plan and execute all agency tours (main point of contact) • Plans socials for all members (Hearst Castle trip, BBQs, Madonna Inn tour, etc.) • Actively participates in PRSSA’s social media • Assists and co-chairs any fundraising or outreach events and activities with the Fundraising Director • Acts as PRSSA’s Open House liaison

Digital Media Director • Maintains and updates CalPolyPRSSA.org (Wordpress) • Posts meeting minutes, newsletters, industry news, members resources, etc to all social media sites. • In charge of updating Cal Poly PRSSA’s Twitter and Facebook accounts on a weekly basis • Oversees “Blogger of the Month” program • Creates any necessary promotional materials • Must be familiar with Wordpress, moderate Adobe Creative Suite skills and main social media platforms (Facebook, Twitter, Youtube) • Takes pictures and video of meetings and special events for POLYPR Newswire and social media accounts

Communications Director • Creates interactive monthly POLYPR Newswire including current chapter and industry news, member and alumni spotlights, and member submitted articles • Researches PRSSA Job Center, Mustang Jobs, Monster.com, Glassdoor.com for PR, marketing, communications, and advertising jobs and internships • Produces weekly formatted emails including interactive listings of current internships, jobs, and volunteer opportunities • Checks and responds to email on Cal Poly PRSSA email account on a daily basis • Updates and posts content to Cal Poly PRSSA’s Facebook and Twitter at least once a week in coordination with the Digital Media Director • Drafts news releases to send to Mustang Daily and the CLA office when PRSSA holds special events • Brings laptop, projector attachment, and appropriate equipment to each meeting

Finance Director • Works closely with the President and E-Board in preparing an annual budget (mapping out necessary purchases/expenses) • Collects member dues during the fall and spring in order to comply with PRSSA National and Chapter bylaws completely and accurately • Provides financial reports periodically to E-Board • Provides reimbursements from the PRSSA account for approved chapter purchases • Researches fundraising and donation opportunities • Arranges food and coffee for each PRSSA meeting and organizes purchase reimbursements with ASI • Keeps current list of paid members, members that need to renew membership, and in charge of taking meeting attendance

Fundraising Director • Producing innovative and creative ways of fundraising for the chapter • Responsible for seeking out and securing fundraising opportunities • Maintaining contact with other board members and aiding them in fundraising needs • Organizes and plans fundraisers for each quarter in order to raise money for the chapter (Min. 1 event per quarter) • Keeps chapter up-to-date on fundraising events and raises interest for future opportunities • Works with ASI for fundraising protocol • Works closely with the Outreach Director
