Objectives • Navigate ProSAM to: • Access a student's financial aid records • Identify a student's institution • Navigate between financial aid records in different award years • Describe the information available within ProSAM Lite • Navigate Banner to: • Access a student's records • Organize favorite forms • Maintain a student's contact information • Manage financial holds on a student's account • Access a student's monetary history records • Define term codes • Identify cumulative account balance

  4. Navigating ProSAM DeVry Online Services

  5. What is ProSAM? • ProSAM is the main system used to process a student’s financial aid awards from start to finish • Each department has different levels of access to ProSAM depending on their job responsibilities

  6. Accessing ProSAM • ProSAM can be opened by using the link found in the DeVry Staff Portal, under the Helping Students tab • Depending on the Internet browser being used, it may be necessary to save the application to the desktop before opening

  8. User Set Up 0 • From the Menu Bar, select Tools Options • In the Actions tab, select Auto Save and ensure the Retrieve Online Task Document box is unchecked • In the Appearance tab, change the Screen Timeout to 0 minutes

  9. Opening a Student’s Record • Select the Open Student icon from the Toolbar • In the Identifier field, enter either a student’s DSI# • The Aid Year can also be changedas necessary

  10. Changing Award Years Use the Aid Year icon from the Toolbar to toggle between different award years within the same student account

  11. Fingertip Section • Once a student’s account has been opened, the Fingertip section will provide: • Student’s name • DSI • Last 4 digits of SSN • Award year being viewed • Institution

  12. Navigation Tree • The Navigation Tree is used to move between the various records in a student’s account • Yellow pins can be expanded to show multiple menu options • Red pins indicate the screens that can be accessed • Green pin is the screen currently being viewed

ProSAM Lite – Middle Section • The Middle Section • Aid Application Status Information • Color coded to reflect the status of an individual item • Active hover links • Green=Ready, Blue=Processed, Red=Manual Processing, Orange=Process Ineligible (set during cycle change processes) • Disbursements will turn red or orange but will not update to green or blue.

What is Banner? • Banner is a student information system that is used by DeVry, Keller, and Chamberlain • Used to view, update, and maintain student records, including: • Academic • Monetary History • Demographics • Feeds information to other systems, including: • ProSAM • Salesforce (SFDC) • Mosaic • Ucommerce/TouchNet

  35. Banner - Menu • Data is viewed and entered into Banner through a series of forms that are grouped by process • Each form has an identifying name • SPAIDEN= General Person Identification

Banner – Setting ‘My Banner’ • Consultants can then search for the desired form on the left and move it to the right, using the arrow icons • Consultants can also type the form name in an empty field on the right, then select enter to add the form • Make sure to save the form when complete • Banner will need to be closed and reopened to view the saved ‘My Banner’ forms

  44. Banner – SPAIDEN • Used to view and maintain contact information, such as: • Mailing address • Email address • Phone number

  45. Banner – SPAIDEN • To access a student’s information in SPAIDEN • Enter SPAIDEN into the Go To field in Banner. • Enter the student’s DSI# • Click the Next Block icon

  46. Banner – SPAIDEN– Address • Before adding a new mailing address, make sure to end all old addresses • To avoid errors, when expiring an address, use a To Date of yesterday Always save any changed, and check the auto hint line to confirm the changes were successful

Banner – SPAIDEN – Address • To add the mailing address, click on the Insert Record icon to create a blank record for the new address • Select today’s date using the calendar icon next to the From Date • The From Date field of the new address cannot be the same date entered as the To Date field for any of the old addresses

  48. Banner – SPAIDEN – Address • Select the Address Type search icon and select PR (Permanent Home Address) for all new addresses • BI (Billing) will be used for all P.O. Box mailing addresses • When adding a new address, enter the ZIP or Postal Code first, which causes the city and state to auto-populated

  49. Banner – SPAIDEN – Address • Click on the Save icon to save the record • Check the Auto-Hint line at the bottom of the Banner form to make sure the record was successfully updated

  50. Banner – SPAIDEN –Phone Number • To update a telephone number, from the Telephone tab, click on the Telephone Type Search icon of the first available blank record • Note: If a blank record is not available, click the Insert Record icon
