  1. Checking and Cataloging Periodicals/Serials back from Bindery Serials are sent to the bindery in May/June of each year. They often are returned by July/August. Here are the steps you will need to follow in order to: Make sure everything came back from the bindery correctly. Adjust the LHR from WMS to denote correct holdings and barcode. Process item for shelving (stamping etc…) Checking Bindery Returns • E-resources/Serials Librarian will have a print out of all items that were sent to • the bindery for processing. When boxes are returned from bindery, follow these • steps to make sure everything returned and the call number on the spine is correct. • Obtain print out of bindery list from E-resources/serials librarian. • Open boxes • Check each item against the list. • Make sure item is on list—place check mark by item in list. • Make sure call number on spine is correct. Initial by Call Number. • If any items are missing from bindery list or call numbers incorrect, alert the • E-resources/Serials Librarian. Adjust Local Holdings Record (LHR) in WMS The LHR of a serial will have to be updated when items are returned from the bindery. Sometimes, no line exists in the LHR for the volume that has been returned. In this instance, the receiver will create a new line in the LHR and add a barcode. Sometimes, a line already exists for a volume, but the line needs to be adjusted—and the barcode updated.

Adjust Local Holdings Record (LHR) in WMS • In order to determine if a new line is needed or if a line simply needs to be edited, • follow these steps: • Log in to WMS • Click on “Circulation” • Click on “Discover Items” • Search for serial by title or ISSN • Click on the link to the appropriate title • Click on “Holdings View” • At this point, look for the volume at hand. • If it is already listed, it may appear with Issue numbers next to it like this: • v. 79 no.1-3. • If you see this, you know you need to edit the LHR line. (see directions “A” below.) • B. If the volume is not listed at all, you know that you need to receive an item, which adds • a new line to the LHR for the volume. (see directions “B” below.) Editing an LHR via WMS Metadata Record Manager To edit an existing line in an LHR from within WMS, follow these steps. Obtain the OCLC Number for the item. Click on “Circulation” Click on “Discover Items” Search for serial by title or ISSN Click on the link to the appropriate title OCLC Number is number in parentheses following title. Copy OCLC Number. Click on the “Metadata” Module link from the menu bar. Paste OCLC Number into search box and search. Click on the “Edit Record” link to the right of title information. Scroll to the bottom of the page. You will see a section called “Local Holdings Record.” Click on the “pencil” icon within the action area. Find the line you need to edit, and click on the line to expand it. Update information in field—remove issue numbers etc… Click Done Locate Barcode associated with enumeration line. Click on line to expand. Update barcode. Click “Done.” Scroll back to top of page. Click “Save > Save Local Holdings Record.”

  3. Add New Line to Local Holding Record (Receive New Serial) To edit an existing line in an LHR from within WMS, follow these steps. Obtain the OCLC Number for the item. Click on “Circulation” Click on “Discover Items” Search for serial by title or ISSN Click on the link to the appropriate title OCLC Number is number in parentheses following title. Copy OCLC Number. Click on the “Metadata” Module link from the menu bar. Paste OCLC Number into search box and search. Click on the “Edit Record” link to the right of title information. Scroll to the bottom of the page. You will see a section called “Local Holdings Record.” Click on the “pencil” icon within the action area. Find the last line for “enumeration and chronology” Click on the green plus sign to the right of that line. Choose Field “Enumeration and Chronology—Basic Bibliographic Unit.” Add information for the new volume. Example: $8 1.10 $a 80 $i 2014. Delete any subfields you don’t need by clicking on the red minus Click Done Locate last line for Item Information –Basic Bib Unit (Barcodes) Click on the green plus sign to the right of that line. Choose Item Information—Basic Bib Record from drop down list for field. Click on line to expand field. For $p add the new barcode for the item. Click on the green plus sign next to the barcode. Select “8 Field Link and Sequence Number.” Input the corresponding sequence number for the Enumeration line. Move the field link above the piece designation by using the up arrow. Click Done. Scroll back to top of page. Click “Save > Save Local Holdings Record.”
