  1. Therapy Meeting Sept. 7, 2012

  2. Solicitation of Patients • Policy: • No employee or contractor of Himmel Home Health will knowingly offer to pay or agree to accept, directly or indirectly, overtly or covertly, any payment or other compensation to or from another for securing or soliciting a patient or patronage for or from Himmel Home Health.

  3. Solicitation of Patients • What could be considered solicitation? • The Office of the Inspector General (OIG) of the U.S. Department of Health and Human Services has clearly stated that providers may not give patients items that exceed $10.00 in value at one time or more than $50.00 dollars annually. • Contacting families after you leave a place of employment and telling them to come with you to the new place of employment. • Offering families anything of value, such as babysitting for free, buying supplies for the family/ patient, etc.

  4. POs vs. Communication Log • Rather than submitting PO’s requesting a referral for an outside test/service, submit those requests on a Communication Log: • Therapist writes communication log requesting referral for additional testing, explaining why, and verbally asks family to contact their MD for referral • Therapist notifies office of submitted communication log • Office sends communication to MD • Therapist maintains contact with family regarding referral and can call MD to inquire if family hasn’t received referral • Auth. Department will email the appropriate Director letting them know the Comm. Log was sent and asking them to flag patient for follow up in 3-4 weeks. • IF starting/continuing therapy is contingent upon the appointment, HHH will allow PCP and family 1 month to get referral and make appointment for testing before DC’ing.

  5. POs vs. Communication Logcontinued… • If you are requesting items for which the patient needs a prescription signed by you and their MD, such as AFO’s/SMO’s, please continue to submit those on PO’s and ask the office to scan a copy to you once they are signed by the MD so that you can provide those signed orders to the patient’s family.

  6. Physician Orders • When writing physician orders, please leave the status as unconfirmed. This ensures that the office can track the orders that have not be printed and submitted to the physician. The office will change the status to confirmed once they receive the order back with MD signature.

  7. Release of records (House Bill 300) • House Bill 300 (82R, Kolkhorst) became effective September 1. • HB 300 also requires a separate authorization for each disclosure of protected health information • HB 300 also increases penalties for negligent violations to $5,000.00.  Intentional violations can be penalized at $25,000.00.  Finally, covered entities that intentionally disclose protected health information for financial gain may be penalized $250,000.00. 

  8. What does this mean to you? • If a parent would like us to release records, they will be asked to sign a form and be specific about what records they are requesting. For example, all speech records from 8/1/12 to 8/31/12 to include evaluations and visit notes. • Each time the parent requests information a new form will need to be completed. *Kristen HR emailed new forms to everyone on 8/31/12. There is one for New Braunfels/Seguin/Marion/Cibolo Head Start patients and then a more generic form for everyday record requests.

  9. NB/Seguin/Marion/Cibolo • Head Starts!!!!!!! • When you get consent for your evaluation, please get a release of records signed… this will be the specific form that was pre-filled out and sent by Kristen… not the generic form. • We are required to send CCSCT all evaluations, re-evaluations, and therapy notes, and we don’t want to continually have to ask the parent for release.

  10. Visit Logs • Please be sure to complete your visit logs accurately, including dates that match the notes submitted as well as including missed visit reasons on your log. • Logs are due each Monday by noon and can be submitted to logs@himmelhomehealth.com .

  12. Miscellaneous continued • Plan ahead to attend the next therapy meeting on Oct. 5. Open enrollment is right around the corner and someone will coming to talk to Himmel Home Health about our health insurance and our options for the retirement plan. They will also address if there will be any changes to our medical plan for the 2012-2013 year.
