  1. Using HCM/UltiPro to Enroll Benefits

  2. Logging into HCM/UltiPro Internet Explorer is the preferred browser for HCM/UltiPro To access HCM/UlitPro, navigate to this location: https://hr.uicalaska.com . After you login, do NOT save https://n22.ultipro.comas a favorite/shortcut or you will experience login issues. Instead, save https://hr.uicalaska.comas a favorite/shortcut. If you are asked for login info, use the following: Username: your email address Password: your password you used when you set‐up your email address If you are on government network, your username is: UIC\firstname.lastname If you encounter problems, try the following steps: 1. Turn off pop up blocker (Open Internet Explorer and select Tools > Pop‐up Blocker > Pop‐up Blocker Settings) 2. If you still have issues submit a HelpDesk ticket for assistance helpdesk@uicalaska.com

  3. Verifying your Information • Great you’re in the system! Now what? • Next, you’ll want to take a moment to ensure your personal information is correct before starting your enrollment. • Under Myself > Personal > Name, Address and Telephone • Please report any incorrect information to your Human Resources Department

  4. Benefits Enrollment • Now you’re ready to start your benefits enrollment. • Select Menu > Myself > then Life Events > then New Hire Enrollment • The pages have been configured based upon the benefits you’re eligible to participate in. • Take a moment to read each page carefully before making any benefit elections. • Once you’ve made your elections, hit the next button. • You can always go back, by hitting the “Back” button

  5. Adding Dependents and Beneficiaries • Make sure to update your dependents! • Hit the green “Add” button. This will bring up a new window. • Fill in the necessary information. Remember to hit “Save” • Complete a new form for each dependent you wish to add or update

  6. Making your Elections • You’ll now have the option of enrolling in a variety of benefits for the current plan year • Some of the benefits you can decline, such as medical*, dental, vision, FSA • Other benefits are automatic, such as group term life, long and short term disability • Make sure to add beneficiary information * Service Contract Act employees will be defaulted into employee only coverage on the high deductible plan, unless a waiver form is submitted

  7. Confirming Your Elections • Once you’ve made all of your elections, you’ll come to a confirmation page. • Make sure to take your time when reviewing your elections. • If anything looks incorrect, go back to that page and make the necessary updates

  8. Hitting Submit • The last and most important step is to click submit. • This will complete your enrollment session, however you may need to submit additional documentation

  9. Uploading Documents • During the enrollment session, you might read that supporting documentation will be required to complete your enrollment. • Also, different benefits will include supplemental forms that may need to be completed. • If you enroll in voluntary life coverage over the guarantee issue amount, a form will need to be filled out to complete the process. • SCA employees who opt out of UIC’s medical plan will need to submit a signed copy of the SCA waiver along with copies of other coverage.

  10. Uploading Documents • Once you obtain the necessary information, the next step is to upload the document. • Under Myself, select Documents, then the green “Add” button • Remember to hit Save! • Complete this step for each document you have to submit

  11. HR Review • Once you submit your benefits enrollment, your HR department will review all information and supporting documents that have been submitted • Your HR department will reach out to you with any questions or if any information is missing

Getting Help It’s important to remember that help is here! • UltiPro Quick Tours • Available throughout the HCM/Ultipro site are different quick tours. • IT Help Desk - helpdesk@uicalaska.com • Reach out to them if you have any trouble within the system • Your HR department • Reach out to them regarding any benefits questions, supporting documents questions or for general help
